Summary: The Grants Project Manager is under the direction of the Director of Grants. The Grants Project Manager is responsible for monitoring the implementation and progression of grant funded projects. Specifically, the Grants Project Manager shall ensure that grants funds are allocated budgeted and spent on approved parish projects in a timely manner and in compliance with all applicable project contracts and grant provisions. Individual Grants Project Managers may have specific responsibilities related to specific grants.

  • Acts as direct liaison between parish and granting agency and is responsible for all grantor agency reporting requirements, audit and close out items
  • Manage projects grants to achieve the target goals of the grants and ensure the grants monies are used in accordance with the grant award.
  • Handles financial oversight of a grant including: processing and submitting invoices and drawdown requests for payment, working with the Grants Accountant/Department of Finance to record and/or request grant funding drawdowns, creating entries to record receivables, managing financial status reports and assisting in the creation of the Department of Grants Year-end Single Audit Reports
  • Has fiscal responsibility for monies and transactions related to the grant award and will review activity to ensure compliance with policies and procedures, analyze the purpose of the activities, record data, and retain records applicable to the grant award
  • Prepare monthly, quarterly, and annual reports for the grants as needed
  • Communicate regularly with parish project managers to ensure compliance with grantor regulations and assure all funding is utilized before grant deadlines.
  • Prepare, review and approve grant applications, prepare the annual/grant year budgets, reviewing and approving purchase requisitions and vendor invoices charged to grant funds, preparing and/or reviewing procurement documents and needed Council resolutions
  • Maintain organized, detailed, and accurate file
  • Regular, consistent attendance is required
  • Any other duties as assigned

Competencies: Employee must be able to operate basic office equipment, office computer, and any other specialty equipment needed for the position. Knowledge of: Microsoft Office Suite to include Word, Excel, Outlook. Employee must have excellent organizational and time management skills, excellent oral and written communication skills, communicates effectively and has excellent customer service and interpersonal skills. Must have excellent analytical, grammar and writing skills, professional and helpful attitude, independent worker with multi-tasking skills and a desire to learn.

Work Environment: The incumbent works in a typical office environment with little or no exposure to unpleasant environmental conditions or hazards. Primary functions are limited to an office environment. Occasional duties may require travel or working in non-office environment.

Physical Demands: Sedentary work. Sedentary work involves lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally and other sedentary criteria are met.

Required Education/Qualifications: Bachelor, Associates, or Technical l Degree in a related field and/or four years' experience with federal, state and/or local grants required.
