Join us as a Group Executive Assistant

Location: NYC Tri-State Area (primarily Remote work with occasional travel in for events)

BMC is seeking a highly skilled, collaborative, professional, and motivated Group Executive Assistant to support the Intelligent Z Optimization and Transformation business unit. This role is pivotal in ensuring the unit's customers, partners and internal stakeholders perceive IZOT as a top place to do business. The group exec admin will be supporting the VP, Product Management, and VP, Solutions Marketing. Here is how, through this exciting role, YOU will contribute to BMC's and your own success:

• Calendar Management: Maintain and manage complex and demanding appointment schedules for VP Solutions Marketing and VP Product Management, including coordinating reoccurring meetings such as leadership team meetings, planning workshops, and All-Hands events.
• Travel & Expense Logistics: Manage domestic and international travel arrangements with clients, develop detailed itineraries, and oversee expense reporting with a keen eye for accuracy and efficiency.
• Visa and International Travel Expertise: Manage complex international travel requirements, including passport renewals, visa procurement, immigration documentation, and contingency planning for travel disruptions.
• Budget Management: Maintain travel budget and P-card expense reports for the Solutions Marketing organization and associated events.
• Confidential Information Management: Handle sensitive business and personnel matters with a high degree of discretion and judgement.
• Stakeholder Liaison: Act as the primary point of contact for individuals seeking to meet with the two Vice Presidents, ensuring all interactions are handled with professionalism, and with appropriate level of discretion for both internal and external meetings.
• Business Unit Culture: Organize and support events, including securing venues, coordinating catering, and ensuring seamless virtual meeting access for attendees worldwide. Facilitate team-building activities and executive dinners, with approximately 3 in-person events per quarter in NYC or White Plains, NY.
• Administrative Support: Serve as a backup for other executive administrative assistants, manage ad hoc administrative projects, and conduct research to prepare actionable information.
• Executive Collaboration: Work closely with the two Vice Presidents and the IZOT leadership team to anticipate needs, manage priorities, serve as a trusted advisor to leadership and contribute to a cohesive and supportive executive environment.
• Cross Functional Partnership: Collaborate with HR, Finance, Communications, Corporate Marketing, Legal and Sales teams to support business priorities.
• Procurement and Vendor Management: Manage purchase orders, contracts, invoices and vendor relationships for events and organizational activities.

To ensure you're set up for success, you will bring the following skillset & experience:

• At least 3 years of supporting a VP directly, ideally within a professionally run (public or private) company.
• Minimum of 10 years of executive-level support. Prior experience supporting senior leaders in high-visibility roles is a must have.
• Experience supporting multiple senior leaders simultaneously
• Event Planning Expertise: Proven ability to organize large-scale, global events, including complex travel logistics.
• Adaptability: Thrive in a dynamic, fast-paced environment, demonstrating the ability to multitask, manage competing priorities, and pivot as circumstances evolve.
• Attention to Detail: Meticulous organization and accuracy in all aspects of work, from calendar management to expense reporting.
• Professionalism: Superior interpersonal skills, with the ability to handle sensitive situations with discretion and diplomacy. Strong written and verbal communication skills are essential.
• Proactive Mindset: A self-starter who anticipates needs, demonstrates initiative, solve problems independently and work effectively with minimal direction.
• Technology Savvy: Proficiency in Microsoft Office Suite, including use of Copilot and AI, virtual collaboration tools, and other relevant software platforms. Comfort with using AI for note-taking and to speed day to day work.

You may be required to travel occasionally for business.

Actual salaries depend on a wide range of factors that are considered in making compensation decisions, including but not limited to skill sets; experience and training, licensure, and certifications; and other business and organizational needs.

The range listed is just one component of BMC's employee compensation package. Other rewards may include a variable plan and country specific benefits.
