What You'll Do

We're seeking a polished, service-focused Guest Services Representative to serve as the face of our Conference Center. In this highly visible role, you will deliver a seamless, high-touch experience for firm personnel and external visitors, ensuring every interaction reflects a "one team, one firm" approach.

You will manage daily conference center operations-from greeting guests and coordinating room reservations to overseeing catering, technology, and space readiness. Success in this role requires strong attention to detail, professionalism, and the ability to anticipate needs in a fast-paced environment.

This role follows a Monday-Friday schedule, with standard hours of 7:30 AM to 4:00 PM.

Front Desk & Guest Experience

  • Serve as the first point of contact, delivering a polished, hospitality-driven experience for clients, guests, and firm personnel
  • Manage guest check-in, visitor registration, security coordination, and temporary badge issuance

Call Management & Information Support

  • Answer and direct incoming calls, serving as a central resource for inquiries and ensuring seamless routing

Meeting & Conference Coordination

  • Coordinate conference rooms and logistics, including reservations, setup, A/V, catering, and materials
  • Ensure meeting spaces are properly prepared and presentation-ready

Catering & Event Coordination

  • Partner with internal teams and vendors to manage catering, confirm service details, and ensure accurate execution and billing

Visitor & Attorney Support

  • Assist visitors and attorneys with transportation, local recommendations, and light administrative needs (printing, copying, etc.)

Administrative & Office Operations

  • Monitor shared inboxes, respond to correspondence, and route requests appropriately
  • Submit maintenance requests and support daily office operations

Workplace Environment & Support

  • Maintain reception and conference spaces to ensure cleanliness, organization, and a professional appearance
  • Provide basic first aid supplies and support a safe office environment

General & Event Support

  • Assist with additional administrative and operational tasks, including early morning or after-hours event coverage

What You'll Bring

  • Education - High school diploma required; bachelor's degree preferred
  • Experience - 3+ years in hospitality, concierge, conference center, or similar environment preferred
  • Service-Driven Mindset - Exceptional customer service and professional presence
  • Communication Excellence - Strong communication and phone etiquette
  • Organization & Multitasking - Ability to manage multiple priorities under time-sensitive conditions with strong attention to detail and accuracy.
  • Professional Presence - Consistent professionalism, reliability, and sound judgment in a highly visible role.
  • Technical Proficiency - Proficiency in Microsoft Office applications, including Word and Outlook, and comfort navigating booking platforms and internal databases.
  • Independence & Accountability - Ability to work with minimal supervision while maintaining high standards of quality and responsiveness.
