What You'll Do

We are seeking a professional, polished, and customer-focused Guest Services Representative to serve as the first point of contact for our office. In this highly visible, client-facing role, you will deliver exceptional service to both internal teams and external visitors while ensuring smooth front desk and conference coordination operations. This person will have regular and predictable attendance as it is an essential function of the job. Occasional overtime may be required and as such, there may be occasional requirements to adjust work hours by coming in early, staying late, or delaying lunch breaks in order to provide coverage. Based on business needs, your work schedule may be modified. Hours for the position are 8:00 a.m. - 5:00 p.m.

This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in creating a welcoming and professional experience.

  • Greet clients and visitors warmly and professionally
  • Assess visitor needs and direct them appropriately
  • Maintain a clean, organized, and welcoming reception area
  • Manage a multi-line telephone system, answering and directing calls promptly
  • Take and relay accurate messages
  • Respond to internal inquiries with professionalism and urgency
  • Schedule and manage conference room reservations
  • Gather event details (time, attendees, technology needs, etc.)
  • Prepare signage and coordinate meeting logistics
  • Provide high-quality customer service to internal and external stakeholders
  • Assist with special projects such as mailings and document preparation
  • Support day-to-day administrative and clerical needs

What You'll Bring

Qualifications

  • High school diploma required; associate degree preferred
  • 2+ years of customer service experience, ideally in professional services (legal, financial, consulting, etc.) or luxury hospitality
  • Professional appearance, polished, articulate, and client-service-oriented demeanor

Skills & Abilities

  • Exceptional interpersonal and communication skills
  • Strong attention to detail and organization skills
  • Professional phone etiquette
  • Ability to multitask and manage competing priorities
  • Ability to stay calm under pressure in a fast-paced environment
  • Comfortable working both independently and as part of a team

Technical Skills

  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Experience with scheduling tools (EMS) and expense systems (Coupa) is a plus
  • Familiarity with multi-line phone systems
