What You'll Do

We are seeking a polished, professional, and service-oriented Guest Services Representative to serve as the first point of contact for clients, visitors, and employees. This highly visible role is responsible for creating exceptional guest experience, managing front desk operations, coordinating meeting and conference room reservations, and supporting office events and daily administrative functions. Occasional overtime may be required and, as such, there may be occasional requirements to adjust work hours by coming in early, working weekends, staying late, or delaying lunch breaks to provide coverage. Based on business needs, work schedules may be modified. Standard hours for this position are 9:00 a.m. to 5:30 p.m.

  • Greet clients, visitors, and guests in a courteous and professional manner.
  • Serve as the primary point of contact for all reception-related inquiries.
  • Direct visitors to the appropriate personnel and ensure a seamless arrival experience.
  • Maintain a clean, organized, and professional reception area.
  • Answer and manage incoming calls through the main telephone console.
  • Route calls accurately and efficiently to the appropriate individuals or departments.
  • Take and forward messages as requested.
  • Respond promptly and professionally to internal and external inquiries.
  • Deliver exceptional customer service through all verbal and written communications.
  • Schedule conference rooms and visitor offices for attorneys and staff.
  • Gather meeting requirements including attendee counts, technology needs, and catering requests.
  • Help and execute office events.
  • Obtain the necessary details regarding an event including date, time, number of people, technology, and catering needs.
  • Enter and manage reservation details in scheduling systems.
  • Create conference room and visitor signage as needed.
  • Partner with internal teams to ensure meeting spaces are prepared and ready for use.
  • Assist with planning and execution of office events.
  • Support special projects, mailings, and document preparation.
  • Collaborate with colleagues across departments to provide responsive operational support.
  • Perform additional administrative and clerical duties as assigned.

What You'll Bring

  • High school diploma or equivalent.
  • 2+ years of customer service, reception, hospitality, or administrative experience, or an equivalent combination of education and experience.
  • Strong verbal and written communication skills.
  • Exceptional customer service and interpersonal abilities.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to work both independently and collaboratively.

Preferred

  • Associate degree.
  • Reception or front desk experience in a professional services environment, such as legal, financial services, consulting, advertising, or similar industries.
  • Experience with EMS scheduling software and Coupa.

Compensation

The base salary range below represents the low and high end of the salary range for this position in San Francisco. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary.
