Qualifications
Essential Duties and Responsibilities
Serve as the primary point of contact for students, parents, staff, and visitors entering the Guidance Office.
Assist with new student enrollment and registration processes.
Maintain and update student demographic and emergency contact information.
Process student immunization records and ensure compliance with district and state requirements.
Prepare GPA certificates, transcripts, and other student records as requested.
Maintain and organize student cumulative records (CA-60s) in accordance with district procedures and record retention requirements.
Process student injury reports and maintain appropriate documentation.
Assist with Advanced Placement (AP) testing preparation and coordination.
Answer and direct incoming telephone calls, providing accurate information and exceptional customer service.
Order, receive, and maintain office supplies for the Guidance Office.
Maintain organized filing systems, both electronic and paper, ensuring accuracy and confidentiality.
Operate office equipment and utilize district software applications to support daily operations.
Schedule appointments and coordinate office communications as needed.
Provide clerical and administrative support to school counselors, social workers, and building administrators.
Assist with preparation of correspondence, reports, forms, and other documents.
Support guidance office programs, meetings, and special projects as assigned.
Collaborate with staff to ensure efficient operation of the Guidance Office and timely completion of assigned tasks.
Maintain confidentiality of student, staff, and district information in accordance with applicable laws, board policy, and district procedures.
Demonstrate professionalism, dependability, and a commitment to providing excellent customer service.
Foster positive relationships with students, families, staff, and community members.
Perform other duties as assigned by the building administration.

The employee must occasionally lift and move up to 25 pounds in supplies which requires bending, stooping, and lifting.
The employee must be able to use various instructional materials in the classroom.

The employee must sit and stand for long periods.
The employee must have normal vision and hearing with or without aid.
The employee must be able to move about the assigned location unaided during the day.

SALARY: Pursuant to the Secretary Contract
