The Head Cataloger serves as the senior subject matter expert in library cataloging and metadata management, supporting the National Defense University (NDU) Libraries. This role is responsible for leading cataloging operations, managing complex metadata environments, and supporting the migration and implementation of the Ex Libris ALMA / PrimoV / Digital Integrated Library System (ILS).

The Head Cataloger plays a critical role in ensuring accurate organization, discoverability, and accessibility of both physical and digital collections, directly supporting NDU's mission to advance research, education, and national security strategy.

Key Responsibilities

Integrated Library System (ILS) Migration & Implementation

  • Lead and support migration from legacy systems (e.g., SirsiDynix Symphony) to Ex Libris ALMA / PrimoV / Digital
  • Coordinate with internal stakeholders and external vendors to ensure successful implementation
  • Support configuration, troubleshooting, and post-migration system optimization
  • Track and resolve migration-related issues and maintain documentation
Cataloging & Metadata Management
  • Perform original cataloging in accordance with national standards (e.g., MARC 21, RDA)
  • Create, edit, and maintain bibliographic and authority records
  • Analyze subject matter and assign appropriate classification, call numbers, and subject headings
  • Ensure consistency, accuracy, and discoverability across all catalog records
Collections Maintenance (Physical & Digital)
  • Maintain and enhance catalog records for:
    • Physical collections
    • Digital assets
    • Special collections and archives
  • Perform database clean-up, normalization, and deduplication of records
  • Ensure compliance with metadata standards including:
    • MARC
    • Dublin Core
    • EAD
    • VRA
    • ISO metadata standards
Authority Control & Data Integrity
  • Implement and maintain authority control processes across all collections
  • Standardize naming conventions, subject headings, and taxonomy structures
  • Build and maintain indexing structures to improve search and retrieval
  • Ensure high levels of data consistency across catalog systems
Digital Content & Knowledge Management
  • Support digital repository management and metadata creation
  • Assist in managing digital archives, government documents, and special collections
  • Apply best practices in information architecture and data organization
  • Support web-based library services and digital discovery tools
Performance Monitoring & Reporting
  • Track cataloging output, accuracy, and system performance metrics
  • Prepare and submit monthly status reports detailing:
    • Records created/updated
    • Issues identified/resolved
    • System improvements and recommendations
  • Support audits, quality checks, and compliance reviews
Collaboration & Stakeholder Support
  • Work closely with:
    • Library leadership
    • Project managers
    • IT/system vendors
  • Provide subject matter expertise and recommendations on cataloging practices
  • Participate in meetings and provide updates on progress and challenges
Requirements
  • Master's degree in Library Science (MLS/MLIS) from an ALA-accredited program
  • Minimum 5+ years of experience in professional library cataloging
  • Strong experience in:
    • Original cataloging
    • Metadata standards and schema
    • Library systems and database management
  • Experience in academic or special libraries strongly preferred
Required Skills & Expertise
  • Deep knowledge of:
    • MARC 21, RDA, Dublin Core, EAD
    • Authority control and taxonomy management
  • Experience with:
    • Integrated Library Systems (ILS), preferably Ex Libris ALMA / Primo
    • OCLC cataloging tools
  • Strong analytical and data quality management skills
  • Ability to manage complex datasets and large-scale catalog systems
