Position Summary

Job Summary:

The ideal candidate will possess strong administrative skills, excellent patient service abilities, and familiarity with clinical office operations. This role is essential for optimizing operational workflows and ensuring the highest standards of patient care are consistently met.

Key Responsibilities:

  • Patient Engagement: Serve as the first point of contact for patients, ensuring a professional, courteous, and welcoming environment. Proven ability to utilize scheduling tools to minimize patient wait times and maximize clinic capacity. Effectively communicate the benefits of medical procedures to patients, fostering informed decision-making and trust.
  • Clinical Communication Management: Skillfully triage and direct clinical calls to the appropriate healthcare professionals, guaranteeing accurate and prompt responses that align with patient needs.
  • Administrative Documentation: Provide comprehensive support to patients in completing required documentation, offering clear guidance and resolving any queries to facilitate smooth processing.
  • Operational Maintenance: Maintain an orderly and hygienic work environment, ensuring the reception area and lobby reflect the organization's commitment to a professional atmosphere.
  • Issue Escalation: Proactively address patient concerns and inquiries, escalating complex issues to the appropriate departments to ensure timely and effective resolution.
  • Performance & Compliance: Consistently meet or exceed established productivity benchmarks while maintaining thorough knowledge of billing practices and the range of medical services offered by healthcare providers. Provides support to other team members as needed to ensure smooth operations.
  • Referral and Records Management: Accurately input and manage referral information within the system. Oversee the organization and retrieval of medical records, including the systematic filing and pulling of patient charts as required.
  • Reliability: Exhibit unwavering dependability through consistent attendance, ensuring continuous support for patient care operations.
  • Additional Responsibilities: Undertake any other duties as directed by the supervisor, contributing to the overall efficiency and success of the healthcare team.

Minimum Requirements

Knowledge normally acquired through a high school education; a minimum of one year of related and progressively more responsible or expansive work experience in a medical office, medical clinic, or in a mental health office; knowledge of electronic medical record and patient scheduling systems; or an equivalent combination of education and experience.

Desired Qualifications

Familiarity with medical terminology; experience in scheduling, screening, and confirming medical appointments using a computerized information system; current or prior experience obtaining/checking authorizations; experience scanning documents and handling a multi-line phone system.

Summary of Physical Demands

The job requires significant physical effort and involves lifting and maneuvering patients, extensive walking and standing and fine manual dexterity 26-75% of the time; visual and aural acuity necessary to monitor patient care.

Summary of Health Risks

Exposure to human blood, serum, and other body fluids; and materials covered under Universal Precautions; TB risk or work within three (3) feet of patients in a health care setting; wear a respirator.
