Health Plan Operations Coordinator

SummaCare - 1200 E Market St, Akron, OH

Full-Time / 40 Hours / Days

Hybrid

Summary:

Supports the day to day operational, and coordination activities of a health plan. Partners closely with Directors and Vice Presidents to ensure smooth execution of operational workflows, vendor engagements, financial tracking, and member focused initiatives. Plays a key role in supporting member and provider engagement, compliance, efficiency, and strong internal and external relationships across the health plan.

Formal Education Required:

a. High school diploma

b. Associates degree - preferred

Note: Education requirement may be substituted with additional experience

Experience Required:

a. Five (5) years of progressive administrative assistant, operational coordination experience, preferably in healthcare, health insurance, or a highly regulated industry.

a. High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms.

b. Demonstrated ability to support team members at all levels of Operations in a fast-paced environment.

c. Exceptional organizational, time management, and multitasking skills

d. Strong written and verbal communication skills

e. High emotional intelligence, professionalism, and discretion

f. Ability to work independently while collaborating across teams

g. Proactive problem solving and sound judgment

Essential Functions:

Operations & Administrative Support

  • Provide operational support to Directors and Vice Presidents, including calendar management, meeting coordination and scheduling, and preparation of materials
  • Track and follow up on action items, deadlines, and deliverables across multiple workstreams
  • Maintain organized records, documentation, and standard operating procedures

Vendor & Contract Coordination

  • Coordinate vendor onboarding, contract workflows, and routing for review and approval
  • Track vendor invoices, ensure accuracy, and support timely submission for payment
  • Serve as a liaison between internal teams and external vendors, including community‑based and local support partners

Financial & Budget Support

  • Assist with budget tracking, reconciliation, and expense monitoring
  • Support preparation of budget summaries, forecasts, and variance reports
  • Ensure invoices and expenses align with approved budgets and contractual terms

Member & Community Engagement Support

  • Coordinate logistics for member community events, meetings, and outreach activities
  • Support ordering, tracking, and distribution of promotional and educational materials
  • Collaborate with internal teams and local vendors to ensure successful execution of events and initiatives

Collaboration & Process Improvement

  • Identify opportunities to streamline workflows and improve operational efficiency across the organization
  • Support audits, reporting, and compliance activities as assigned
  • Maintains confidentiality of protected health information (PHI)
