Position Title: HEALTH, SAFETY & TRAINING SYSTEMS COORDINATOR

Responsible to: MANAGER - QUALITY & BUSINESS PROCESS IMPROVEMENT
Position Summary: The Health, Safety, and Training Systems Coordinator supports and maintains the Management System through system administration, field support, and program development. This role ensures effective deployment and day-to-day functionality of KPA Flex, while also supporting the development of communications, emergency response planning, and controlled documentation across all operations, including mobile fleet, construction, and stationary facilities. This role connects field operations, leadership, and system processes to ensure our programs are consistent, usable, and continuously improving, aligned with ISO-based management system principles.
Essential Duties and Responsibilities:
Provide day-to-day administrative support for KPA Flex, including the Health, Safety, and Training Groups
Manage user access, including password resets, onboarding, and offboarding for contractors (construction)
Support new hire and contractor onboarding within the system, ensuring proper assignment of training, forms, and access
Troubleshoot system issues and serve as first-line help desk support for field users
Maintain system data accuracy, including employee records, site structures, and asset alignment
Support field adoption by assisting users with basic navigation, submissions, and system functionality
Develop and publish Health, Safety, and Training Bulletins and Alerts based on incident investigations, changes/updates, lessons learned, and identified trends
Issue communications related to new or revised safety requirements, procedures, or operational changes
Ensure communications are clear, actionable, and aligned with operational risks
Develop, update, and maintain Emergency Response Plans (ERPs) for:
Mobile fleet operations
Construction project sites
Stationary and facility-based operations
Ensure ERPs are site-specific, current, and aligned with operational risks and regulatory expectations
Support periodic reviews and updates based on operational changes or incident learnings
Develop, update, and maintain Health, Safety, and Training procedures, standards, training materials, and associated forms
Ensure documents are aligned with company operations and Management System requirements
Maintain document control, versioning, and accessibility across all locations
Support continuous improvement by identifying gaps and updating documentation accordingly
Support alignment of documentation and processes with management system principles, including risk-based thinking, worker participation, and continual improvement
Support development and maintenance of Health, Safety, and Training Group dashboards and reports (KPI's and Reports)
Assist in the preparation of weekly, monthly, and project-specific Health, Safety, and Training reports
