POSITION SUMMARY

The Healthcare Process Improvement Specialist serves as the vital operational bridge between frontline healthcare staff, clinical and administrative workflows, and digital transformation teams. In this role, you will analyze, document, and support redesign of clinical and administrative workflows to prepare them for seamless integration with artificial intelligence technologies (e.g., ambient documentation, predictive triage, automated prior authorization).

Rather than simply digitizing existing habits, you will systematically map current operations to support elimination of inefficiencies, standardize data flows, and build optimized processes that leverage AI to maximize staff productivity, ensure clinical safety, and reduce administrative burden

CATEGORIES OF DUTIES

1. Process Mapping & Workflow Diagnostics

• Conduct on-the-ground observations, shadowing, and interviews with clinicians, nurses, and administrative personnel to document current state ("As-Is") workflows.
• Develop granular value stream maps, swim lane diagrams, and standard operating procedure (SOP) documentation across varied departments (e.g., patient intake, inpatient discharge, clinical documentation, prior authorization).
• Identify operational bottlenecks, redundant handoffs, unstructured data trapped in free-text fields, and process friction points that hinder efficiency.

2. Process Redesign for AI Integration

• Redesign traditional, sequential workflows into optimized, parallel "To-Be" processes tailored for AI capability and deployment.
• Determine the exact operational placement of "Human-in-the-Loop" checkpoints to maintain compliance, safety, and clinical governance.
• Standardize input and output data points within workflows to ensure high-quality data streams for AI model ingestion.
• Collaborate with IT and technical integration teams to define operational touchpoints, system interfaces, and EHR interaction requirements.

3. Implementation & Continuous Improvement

• Establish baseline and post-implementation metrics to evaluate workflows improvements, operational efficiency, and adoption of redesigned processes.
• Partner with clinical and administrative leaders to pilot redesigned workflows in target departments, gathering immediate feedback from frontline users.
• Develop standard work instructions, quick-reference guides, and workflow documentation for staff.
• Monitor post-implementation workflow adoption, identifying workarounds or unexpected process bottlenecks and driving continuous iterative improvements

LICENSES/CERTIFICATES

• Lean, Six Sigma (Green Belt or higher), or Process Mining certification highly desirable.

EDUCATION/EXPERIENCE

• Bachelor's degree in Industrial Engineering, Healthcare Administration, Health Informatics, Business Administration, or related field (or equivalent practical experience).
• 2+ years of hands-on experience in process mapping, business process re-engineering (BPR), or workflow analysis - preferably within a healthcare or clinical delivery setting.

TECHNICAL & METHODOLOGICAL COMPETENCIES

• Process Modeling Tools: Proficiency in process mapping software (e.g., Microsoft Visio, Lucidchart, Signavio, or Miro).
• AI & Health Tech Familiarity: Practical understanding of how AI tools (e.g., Generative AI, Ambient

Speech Recognition, NLP, Predictive Analytics) interact with EHR systems (e.g., Epic, Netsmart, myAvatar) and health system operations.

• Data Literacy: Ability to gather, analyze, and interpret operational metrics (e.g., door-to-provider time, length of stay, documentation time) to measure process improvements.

SOFT SKILLS

• Interpersonal & Communication: Strong empathy and active listening skills required to engage clinicians and operational staff who may be skeptical of process changes or new technology.
• Problem-Solving & Systems Thinking: Ability to decompose complex, chaotic human systems into structured, repeatable steps
