POSITION SUMMARY:

The Health and Human Services Dental Receptionist will provide clerical support to carry out Department functions including receiving and announcing clients, answering incoming telephone lines, filing, typing and other clerical tasks as assigned. The Receptionist is responsible for multitasking and maintaining the reception area in a professional, courteous and efficient demeanor, one that protects the patient's rights to service in a confidential and private manner, following HIPAA guidelines. The main component of the dental receptionist is supporting the dental care providers in between our two comprehensive family dental practice locations with a public health mission.

ESSENTIAL FUNCTIONS:

1. Greet patients warmly and create a positive, respectful, and culturally sensitive experience.

2. Check voicemails upon arrival and throughout the day. Check patients in and out, verify identity, and update demographic information: guardianship for minors, phone number, address, and insurance information at each visit.

3. Answer phone calls, respond to inquiries, and schedule appointments.

4. Provide information about clinic services, policies, and procedures.

5. Assist patients with forms, portal access, and general navigation of the dental clinic. Determine which documents need updating prior to each visit.

6. Manage the dental appointment schedule to optimize provider time and patient flow.

7. Confirm appointments, send reminders, and follow up on missed visits.

8. Coordinate referrals to internal and external providers.

9. Communicate with dental staff to support daily operations.

10. Responsible for scheduling appointments according to blocks, scheduling rules, and maintain rescheduling days for all providers. Monitor schedule to check for errors, reception reminders needed (nitrous, premed, etc.).

11. Reschedule patients on days on which the providers will be out as soon as possible.

12. Make manual reminder calls for any unconfirmed appointments for the same or next day.

13. Process patient payments, co-pays, and sliding-fee applications when applicable.

14. Maintain accurate electronic health records (EHR) in compliance with privacy regulations.

15. Prepare and organize charts, appointments, forms, and daily schedules. Verify insurance eligibility prior.

16. Assist with billing tasks such as prior authorization, coding support, claim documentation, and payment posting.

17. Send out all No Call /No Show letters by the end of each day and follow the entire policy/procedure diligently.

18. Must attend all mandatory trainings designated by the Health Center, Human Resources Department, and/or Administration, including staff meetings, training, and compliance activities.

19. Uphold HIPAA, OSHA, and health center policies at all times.

20. Other duties may be assigned within the scope and complexity of this positions essential functions.

Requirements

PHYSICAL REQUIREMENTS:

While performing the essential functions of this position, the employee is required to sit, stand, walk, reach and bend. The job may occasionally require travel for satellite office coverage and training. Employees may occasionally lift or move up to 5-10 pounds.

POSITION REQUIREMENTS:

1. High school diploma or G.E.D. required. Associate/Certificate of Medical Office preferred.

2. Experience in office practices of a Health and Human Services setting preferred.

3. Must learn management information systems used for patient registration (RPMS, Dentrix, etc.).

4. Knowledge regarding medical/dental and other human services terminology preferred.

5. Must be able to travel when required.

6. Must be available to work hours to fit dental clinic needs, potentially ten-hour days.

7. Must have excellent communication skills and past work history.

8. To perform this position successfully, an individual must be able to satisfactorily perform each function listed under the essential functions and physical demands categories of this position description.
