Civil Service Title: Senior Office Assistant 10 month (Automated Systems)

Location: Briarcliff High School Main Office

Full Time: 200 Days(work the last two weeks in August and September 1st through June 30th. The last 2 weeks as referenced means the 2 weeks immediately preceding the start of the student instructional year, totaling 200 workdays.). 200-day employee follows the teacher calendar between the first and last day of school.Overtime hours are expected to support test coordination of local, state, and national assessments.

Job Description:

The Senior Office Assistant for the High School Main Office plays a vital role in supporting the daily operations of the High School by ensuring effective communication, organization, and logistical planning for building events as well as day-to-day activities. This role requires exceptional organizational skills, attention to detail, and the ability to communicate effectively with diverse stakeholders, including parents, educators, and external agencies. The successful candidate will contribute to creating an inclusive and supportive environment for students and their families.

Key Duties and Responsibilities:

  • Serve as a primary point of contact for students, families, staff, and community members, providing professional and responsive customer service in support of the High School Main Office in collaboration with other clerical support.

  • Support the Testing Coordinator with the administration of local, state, and national assessments, including the development of student and proctor schedules, testing logistics, communications, materials preparation, and processing of proctoring, scoring, and payment records.

  • Support school operations through the preparation, processing, and tracking of purchase requisitions and other financial and administrative transactions.

  • Coordinate transportation logistics for students attending BOCES, Pocantico Hills, out-of-district placements, and special testing arrangements.

  • Coordinate and maintain the High School master calendar, including school events, testing schedules, marking periods, departmental activities, and building-wide events.

  • Oversee the ordering, inventory, and distribution of office and school supplies to support the daily operations of the High School.

  • Manage building operational systems, including bell schedules, public address settings, and building keys.

  • Coordinate and manage student and faculty campus parking.

  • Support graduation, student recognition, and awards programs, including the ordering and preparation of diplomas, awards, plaques, certificates, scholarship documentation, and related materials.

  • Collaborate with the Counseling Department, Business Office, Facilities Department, Transportation Department, and other district offices to support student services and school operations in collaboration with other clerical support.

  • Coordinate facilities requests, work orders, room reservations, event logistics, and refreshment arrangements for faculty meetings, ceremonies, and school-wide events.

  • Process and maintain timesheets and payroll-related documentation for faculty and staff in accordance with district procedures.

  • Perform a variety of administrative, clerical, and operational duties necessary to support the efficient functioning of the High School Main Office in collaboration with other clerical support..

Qualifications:

  • Relevant administrative experience, preferably in a school setting.

  • Strong organizational, multitasking, and problem-solving skills with exceptional attention to detail.

  • Excellent written, verbal, and interpersonal communication skills.

  • Ability to exercise sound judgment, maintain confidentiality, and manage sensitive information appropriately.

  • Proficiency with nVision, Microsoft Office Suite, Frontline applications, and the ability to learn and utilize district software systems, including financial, student management, communication, and scheduling platforms.

  • Commitment to providing outstanding customer service and fostering positive relationships with students, families, and staff.
