The Elk Mound Area School District is seeking a Permanent Full-Time School Year High School Secretary. The position generally follows the school calendar with additional days at the end of the school year and before the school year begins. The position will officially begin with the 2026-2027 school year, with some training at the end of this current school year. Individuals must possess proficient computer skills; strong organizational skills; confidentiality; ability to work with students, staff, parents and the community in a positive, friendly manner. Other responsibilities include the following:

POSITION RESPONSIBILITIES (Primary)

  1. Ability to navigate and manage data within a Student Information System (SIS)

  2. Do period attendance, print out absent list and call parent/guardian of unreported

absent students.

  1. Keep track of students receiving late passes.

  2. Prepare truancy letters, as needed.

  3. Keep computer attendance records updated with the reason for the absence.

  4. Track teacher absences and write substitute invoice slips for each absence.

  5. Maintain substitute teacher list and call substitutes when needed.

  6. Prepare correspondence for the building principal and/or Athletic Director.

  7. Prepare student records:

  8. Collect lunch money.

  9. Type and distribute a daily bulletin.

  10. Distribute mail to building mailboxes.

  11. Check in all packages before distributing to teachers.

  12. Answer telephones, take messages and forward calls.

  13. Contact parent/guardian if child is sick or injured.

  14. Make copies of teacher and student handbooks for distribution at the beginning of

the school year.

  1. Prepare necessary supplies for teachers at the beginning of the school year.

  2. Prepare and supply new families with the registration materials that are needed at

the start of school.

  1. Prepare and distribute the following as necessary: class lists, schedules, lunch

numbers, and locker assignments.

  1. Process all field trip request forms.

  2. Order needed office supplies.

  3. Prepare third Friday in September and second Friday in January student count.

  4. Conduct an inventory on an annual basis.

POSITION RESPONSIBILITIES (Auxiliary)

High School

  1. Collect athletic fees, codes, health cards, etc. for each sport.

  2. Prepare sports programs for fall and winter sports.

  3. Arrange bus trips for away games and schedule workers for home events.

  4. Prepare/process ticket sales.

  5. Work with the High School Principal to order diplomas, caps and gowns,

programs, etc. for senior graduation.

  1. Perform other duties as assigned.
