The Hospitality Associate serves as a highly visible point of contact for employees, clients, and visitors, delivering an exceptional hospitality experience throughout the workplace. This role partners closely with Executive Concierges, the Space Management Team, and workplace operations to coordinate meetings, catering, and events while ensuring every guest receives a seamless, high-touch experience. The ideal candidate thrives in a fast-paced, customer-focused environment and is passionate about providing outstanding service.
ROLES & RESPONSIBILITIES:
Meeting & Event Coordination
- Manage multiple conference rooms and event spaces to ensure meetings run smoothly.
- Meet with clients to confirm meeting logistics and conduct walkthroughs prior to events.
- Coordinate meeting requirements with Facilities, IT, Catering, and Meeting Support teams.
- Capture meeting details and customer interactions to ensure successful event execution.
Hospitality & Client Experience- Deliver a premium hospitality experience to employees, clients, and visitors.
- Check in with meeting organizers before events to ensure all expectations have been met.
- Build positive relationships with Executive Assistants, partners, and business leaders.
- Provide exceptional customer service while anticipating client needs and resolving issues quickly.
Catering & Conference Services- Coordinate catering orders and ensure timely setup and breakdown.
- Partner with the Executive Concierge and Space Management teams to support meetings and events.
- Ensure conference rooms are prepared, organized, and presentation-ready throughout the day.
Meeting Space Management- Manage conference room reservations and verify room utilization.
- Reclaim unused meeting space when appropriate.
- Support efficient scheduling and space management for client meetings and events.
Reporting & Communication- Prepare daily meeting setup reports and weekly event schedules.
- Generate conference room utilization reports.
- Communicate upcoming events and logistics during team planning meetings.
KNOWLEDGE, SKILLS & ATTRIBUTES:- 2–3 years of experience in hospitality, hotels, restaurants, catering, event planning, luxury retail, or another customer service-focused environment.
- Experience supporting meetings, events, conference services, or workplace hospitality preferred.
- Strong customer service and relationship-building skills with a hospitality-first mindset.
- Comfortable working in a fast-paced environment while managing multiple priorities.
- Proficiency with Microsoft Office, Google Workspace, and audio/visual technology.
- Ability to stand for extended periods and move throughout the office as needed.
- Professional appearance and executive-level communication skills.

The Compensation range for this role is 20.00 to 26.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
