Minimum Requirements
· Progressive experience in office administration, warehouse management, and procurement in a US-based organization
· Proven hands-on experience managing daily office operations, warehouse inventory control, and end-to-end procurement processes for a US commercial facility
· In-depth knowledge of US federal, North Carolina state, and local workplace safety & administrative compliance regulations, including OSHA requirements
· Excellent organizational, time management, and project coordination skills, with the ability to manage multiple competing priorities in a fast-paced operational environment
· Exceptional written and verbal communication skills in English, with the ability to communicate effectively with local teams, suppliers, and the China-based global headquarters
· High level of professionalism, integrity, and discretion, with the ability to handle confidential company and employee information appropriately
· Proficiency with Microsoft Excel, Outlook, Word, and inventory management/ERP systems
· Ability to pass a pre-employment background check and drug screening
· Valid driver’s license and ability to travel locally for supplier visits, warehouse errands, and other operational needs
Preferred Requirements
· Previous experience working in the aviation, aerospace, manufacturing, or global professional services industry
· Direct experience managing warehouse operations and procurement for a production/assembly facility in the US
· Basic knowledge of US federal and North Carolina state employment laws and HR administrative processes
· Experience working with a global team and providing cross-regional administrative support to an overseas headquarters
· Bachelor’s degree in Business Administration, Supply Chain Management, or a related field
· Professional administrative or supply chain-related certification
DUTIES & RESPONSIBILITIES
Responsibilities include, but are not limited to the following:
Core Administration Responsibilities (Primary Focus)
· Oversee end-to-end daily operations of the North Carolina office, including office facility maintenance, workspace management, safety & security compliance, and general office upkeep to ensure a functional and efficient work environment
· Manage full warehouse operations, including daily warehouse organization, inventory cycle counts, in-bound/out-bound stock registration, material storage management, and warehouse environment & safety compliance
· Handle end-to-end procurement for office supplies, warehouse materials, and operational necessities, including supplier sourcing, price comparison, purchase order placement, order follow-up, and invoice reconciliation & settlement
· Coordinate cross-functional and cross-regional administrative matters, including local inter-department coordination, administrative alignment with the China headquarters, meeting & event planning, business travel arrangement for local and visiting team members
· Maintain complete and accurate administrative records, inventory ledgers, procurement documents, and facility maintenance logs, ensuring full traceability and compliance with company standards
· Ensure on-site compliance with US federal, North Carolina state, and local administrative & safety regulations, including OSHA workplace safety requirements, office emergency preparedness, and local business operation rules
· Provide on-site administrative support for all local departments, including document preparation, printing & archiving, mail & shipment management, and other daily operational needs
· Other administrative duties as assigned by the US management team and China headquarters
HR Support Responsibilities (Secondary, Remote Assistance to China HQ)
· Assist the China-based HR & Administration Department with basic HR administrative tasks for US local employees, including onboarding/offboarding administrative procedures, employee personnel file maintenance, and attendance data collection & submission
· Provide remote support for China headquarters’ HR & administration projects, including local execution of employee activities, benefits implementation, and company policy communication for the US team
· Support the China HR team with basic labor compliance document sorting and local vendor coordination for US employment-related matters
· Serve as the local point of contact for US employees’ basic HR & administrative inquiries, and escalate complex matters to the China HR & Administration Department in a timely manner
· Other HR-related administrative support tasks as requested by the China headquarters

XAERO USA is actively seeking an organized, proactive, and detail-oriented Specialist to lead all on-site administration operations for our North Carolina warehouse , with a secondary focus on HR support for our US team and remote assistance to the China-based HR & Administration Department.
