Job Summary:
The HR & Billing Administrator is responsible for supporting the day-to-day human resources, payroll, billing, client intake, service authorization, employee documentation, and CFSS/245D program administration functions of One Family Care LLC.
This position works closely with employees, clients, families, case managers/care coordinators, and agency leadership to ensure employee records are current, payroll and billing information is accurate, client intakes and annual paperwork are completed timely, service authorizations are monitored, and staff receive appropriate support and education regarding timesheets, EVV, progress notes, and documentation requirements.
The HR & Billing Administrator must be highly organized, dependable, detail-oriented, professional, and able to manage multiple responsibilities and deadlines with appropriate follow-through.



Duties included but not limited to:


  • Human Resources & Staff Support
    • Assist with employee onboarding, personnel files, background studies, required training, and ongoing employee documentation.
    • Track missing or expiring employee documents and follow up with staff as needed.

  • Payroll, Timesheets & Billing
    • Review and assist staff with timesheets, EVV entries, and payroll-related documentation.
    • Identify and follow up on missing punches, incorrect hours, overlapping shifts, late submissions, and other discrepancies.
    • Prepare, review, and submit claims for services provided by the agency.
    • Verify billing against service authorizations, EVV, timesheets, and required documentation.
    • Monitor denied, rejected, unpaid, or missing claims and complete appropriate follow-up.

Qualifications
  • Associate or bachelor’s degree in healthcare administration, Human Resources, Business Administration, Accounting, Social Services, or a related field preferred.
  •  Previous experience in healthcare administration, human resources, billing, payroll, client intake, or HCBS administration preferred.
  • Minimum of 1-2 years of experience in Human Resources and billing administration. Experience working with ADP Workforce is a plus.
  • Familiarity with Minnesota CFSS, PCA, 245D, HCBS, Medical Assistance, and managed care programs preferred.
  • Experience working with EVV, electronic documentation, payroll, or healthcare billing systems preferred.
  • Maintain confidentiality in accordance with HIPAA guidelines and regulations.



Other Employment Requirements:
  • Be able to fluently read, write and speak English
  • Be able to pass a criminal background check
  • Have a valid MN Driver’s License and be able to pass a driver’s record check
  • Have or have access to a reliable vehicle (and the ability to transport individuals)
  • Have supervisory experience
  • Have a willingness to learn and the ability to be a team player
  • Be engaging, creative, and possess a drive to teach independent living skills
  • Be experienced with intellectual disabilities and/or mental health (preferred but not required)
