HR and Operations Admin Coordinator

Status: Part‑Time

Reports To: Director of HR

Supports: Director of HR, Director of Club Administration, VP of Club Operations

Overview

The HR and Operations Admin Coordinator is a highly trusted, detail‑driven administrative professional who supports three key departments: Human Resources, Club Operations, and Club Systems Administration. This role ensures that employee records, club processes, and operational systems run smoothly, accurately, and in full compliance with company policies. The ideal candidate is exceptionally organized, thrives in structured workflows, and brings a proactive mindset to improving systems and procedures. They can build rapport easily, and contribute to a supportive, collaborative team environment. They communicate clearly and professionally with managers across all locations and maintain the highest level of confidentiality and integrity.

Primary Responsibilities

HR Administration Support

• Create and post job ads; manage job sponsorships and tracking
• Maintain and update offer letter templates
• Manage user access for hiring platforms and HR systems
• Send offer letters and launch onboarding workflows
• Enter new hires into Paylocity and initiate Welcome Packets
• Collect certifications and maintain employee records
• Process records requests and track PTO, sick time, and leaves of absence
• Coordinate Club Connect CPR setup and tracking
• Maintain compliance reporting: anti‑harassment, CPR, and termination reports
• Active employee documentation needs, such as pay corrections, coaching reports
• Send separation packets and ensure offboarding documentation is saved to employee files
• Notify CGO of terminations for COBRA processing
• Future (if full‑time): manage status changes, term checklists, and final check processing

Club Operations Support

• Assist with Waxie and DNA ordering
• Support ordering and tracking of maintenance parts and supplies
• Attend company wide meetings as necessary

Club Systems Administration Support

• Assist with member document management
• Support club systems and workflows as directed by the Director of Club Administration

By maintaining accurate records, supporting compliance, and ensuring smooth administrative processes, the Operations & HR Compliance Coordinator strengthens the employee experience, supports club leadership, and helps the organization operate with consistency and excellence.

Compensation

Up to $25 per hour

Schedule

Probationary Period, first 90 days:

• Expected to work set schedule at Head Quarters in San Juan Capistrano, OR at one of our many club locations, specific days and times to be determined upon hiring

After completion of probationary period:

• Custom schedule, to be determined upon completion of probationary period
