The HR Clerk is the friendly front line of the Human Resources office during the winter season, supporting the department through the highest-volume stretch of the employee lifecycle: seasonal hiring, onboarding, and the day-to-day questions that come with running a resort at full speed. This role is ideal for someone who is organized, discreet with confidential information, and energized by a fast-paced, people-facing environment.
This is a seasonal position running approximately August/September through end of April/early May, aligned with WPR's operating season. Dates are subject to change based on snow conditions, staffing needs, and applicant availability. This is a non-skiing position, though ski breaks will be possible.
Onboarding & Records
- Process new hire paperwork, including I-9 verification, W-4s, direct deposit, and required policy acknowledgments, ensuring compliance with federal, state, and Oregon-specific employment law.
- Coordinate onboarding logistics and orientation sessions for incoming seasonal staff.
- Maintain accurate, up-to-date, and confidential employee records, scanning and organizing both physical and digital files.
- Process employee changes in the HRIS/payroll system, including new hires, rehires, terminations, and status updates.
Employee Support & HRIS
- Serve as a first point of contact for employees and managers navigating HRIS self-service, troubleshooting routine access and data questions.
- Respond promptly to employee inquiries regarding HR policies, procedures, PTO, and season pass/perks administration.
- Assist with tracking required certifications and trainings (e.g., OSHA, food handler cards, lift/ski patrol certifications) and flag upcoming expirations.
- Support unemployment claims processing and verification-of-employment requests.
Recruitment Support
- Draft, publish, and manage job postings across platforms, using creative sourcing strategies to attract qualified seasonal candidates.
- Support recruiting efforts for open positions, including screening applicants and scheduling interviews, in coordination with the General Manager and department leads.
- Maintain up-to-date records in the applicant tracking system and help ensure smooth transitions from application to hire.
- Represent WPR at career fairs and community recruiting events to help attract seasonal talent.
- Help coordinate background checks and employee eligibility verifications.
- Support a positive, responsive candidate experience throughout the hiring process.
Operations & Engagement
- Manage uniform, name tag, and season pass distribution, inventory, laundry rotation, and returns.
- Assist with the organization and execution of employee events, including orientation, holiday gatherings, and employee appreciation activities.
- Maintain HR bulletin boards and required labor law postings across resort locations.
- Support exit interviews and off-boarding documentation in accordance with Oregon final paycheck law.
- Manage the HR office's day-to-day organization, supplies, and shared inbox.
- Perform other clerical duties as assigned, including filing, data entry, and document preparation.
- Attend HR meetings and trainings, and assist with department projects as needed.
Knowledge, Skills, and Abilities
- Ability to learn new computer systems and software quickly; on-the-job training provided.
- Proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Forms); HRIS/payroll system experience a plus.
- Excellent customer service, communication, and interpersonal skills.
- Strong organizational skills and attention to detail in data entry and recordkeeping.
- Ability to maintain strict confidentiality regarding sensitive employee information.
- Ability to multitask and prioritize in a fast-paced, deadline-driven seasonal environment.
- Comfortable working both independently and as part of a small team.
Education and Experience
- High school diploma or equivalent required; coursework or degree in a related field preferred.
- Prior HR, administrative, or clerical experience is a plus but not required.
- Ski industry or seasonal workforce experience is a plus.
- Must be outgoing, personable, and able to remain calm and professional in stressful or high-volume moments.
Working Environment / Physical Activities
- Approximately 85% of the workday is spent indoors in a standard office environment; approximately 15% outdoors in winter weather conditions.
- Majority of the day spent sitting, with regular periods of standing and walking.
- Occasional lifting, carrying, pushing, and pulling up to 75 lbs.
- Frequent reaching, near/far visual acuity, and normal conversation in person, by phone, and by email.
- Occasional exposure to mechanical and electrical hazards.
- This is a non-skiing position. Must be available to work weekends and holidays during ski season.
