We are looking for a dynamic HR Professional to join the PHLY HR team!
Position Summary:
The Onboarding Coordinator plays a key role in supporting both the employee onboarding experience and ongoing Talent Development initiatives through strong coordination, system support, and administrative execution. This position partners through Talent Development and Talent Acquisition to support the onboarding processes, including Learning Management System (LMS) administration, and event logistics for development programs. The role also supports pre-employment onboarding activities, helping ensure consistent, compliant, and timely experience for new hires.
This role requires strong organization, attention to detail, comfort with systems and process tracking, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Talent Development Support
LMS (TMU):
Manage course setup, assignments, and training records
Ensure accuracy and timely completion to support onboarding and compliance
SharePoint:
Maintain and update TD and onboarding sites
Ensure content is organized, current, and accessible
Invoice Processing:
Process and track invoices (vendors, catering, lodging, etc.)
Ensure timely payment and proper expense allocation
Event Planning & Logistics:
Coordinate vendors, travel, lodging, and event materials
Prepare agendas, name tags, and supporting materials
Manage timelines to ensure smooth execution
Program Coordination:
Track participation and maintain program records
Manage assessment logistics with vendors
Schedule and support virtual sessions (e.g., Bootcamp, Department Overviews)
Talent Acquisition Onboarding Support
Support processing of new hires in Workday system
Conduct I-9 verification and complete E-Verify processing
Review and validate new hire tax information in ADP
Complete OFAC compliance checks as required
Maintain and audit pre-employment documentation and onboarding files
Coordinate onboarding for onshore and offshore contractors
Ensure all onboarding tasks are completed accurately, timely, and in compliance
Process Talent Acquisition-related invoices (e.g., assessments, job boards)
Provide back-up support for TA onboarding operations as needed.
Required Qualifications
2+ years of experience in coordination, HR support, onboarding, learning operations, or administrative program support (or equivalent combination of education and experience).
Demonstrated ability to manage multiple priorities, track details, and meet deadlines with accuracy.
Strong customer service mindset and ability to interact professionally with employees, managers, vendors, and external partners.
Working knowledge of HR Operating systems such as; Workday, ADP, and LMS modules is a plus but not required.
Strong Microsoft Office skills (Outlook, Excel, Teams).
Experience coordinating logistics (meetings, events, calendars, travel, invoices) strongly preferred.
