    Job Summary:

    The HR Coordinator reports to the Director, Global HR Operations and Centers of Excellence and serves as a shared administrative resource for the broader Human Resources team. The position's primary assigned responsibilities within Global HR Operations and Centers of Excellence are Talent Acquisition coordination and accurate completion of approved basic Workday transactions. The role also provides general HR administrative support across functions, including employee letters, meeting and training logistics, document routing, communications, invoice tracking, calendars, records, and request follow-up. Work is prioritized and directed by the Director, Global HR Operations and Centers of Excellence in coordination with HR functional leaders and is performed using established procedures and required approvals. Policy interpretation, employee-relations decisions, eligibility determinations, payroll controls, and Workday configuration or security changes are escalated to the designated functional owner.

    Key Duties:
    • Coordinates interview scheduling, candidate communications, candidate travel, agendas, interview materials, and recruiter or hiring-manager follow-up; maintains recruiting trackers and routine status updates in partnership with the Talent Acquisition Partner.
    • Coordinates post-offer, preboarding, and onboarding logistics, including required forms, new-hire announcements and communications, orientation schedules, stakeholder notifications, and logistical support for new-hire training sessions where HR owns or co-owns the process.
    • Performs approved basic Workday data entry, document uploads, and routine administrative transactions using documented procedures; validates source information for completeness and accuracy and escalates exceptions, corrections, security, configuration, or mass-load needs to HRIS.
    • Provides shared administrative support to the broader HR team for approved activities such as standard bonus, merit, promotion, and other employee letters; HR meetings, events, and training logistics; HR calendars and process communications; and routine administrative follow-up, using approved templates, validated source data, and required approvals.
    • Monitors assigned HR inboxes, mailboxes, and request channels; acknowledges, categorizes, routes, tracks, and follows up on requests in accordance with established service standards, priorities, and confidentiality requirements.
    • Routes standard HR documents through DocuSign, monitors completion, follows up on outstanding signatures, and files completed documents in the designated system of record.
    • Prepares and posts approved OneMeridian HR announcements and new-hire or anniversary monitor/display materials; supports distribution lists and IDE administrative scheduling or approved postings, while designated content owners retain final approval.
    • Coordinates HR meeting, event, and training logistics, including rooms or virtual links, lunches, materials, attendance lists, reminders, and administrative follow-up for HR Operations and other HR functions as assigned.
    • Processes and tracks HR invoices using approved procedures; verifies supporting documentation, routes invoices for approval, maintains status records, and follows up with Finance or vendors as needed.
    • Maintains confidential HR records, shared files, approved templates, rosters, and basic trackers and retrieves documentation for audits or authorized requests; provides additional administrative support across HR functions as assigned and as capacity permits, without interpreting policy, making eligibility or employee-relations decisions, owning payroll controls, or configuring HR systems.
    Qualifications:
    • High school diploma or equivalent required; associate's or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
    • Two or more years of administrative, coordination, customer-service, recruiting-support, or human-resources experience preferred.
    • Experience using an HRIS and applicant-tracking system preferred; Workday experience strongly preferred.
    • Proficiency with Microsoft Outlook, Teams, Excel, Word, and PowerPoint and experience with SharePoint/OneMeridian, DocuSign, document routing, or content posting preferred.
    • Experience coordinating meetings, candidate or employee logistics, invoice tracking, and confidential records preferred.
    • High degree of accuracy, data-entry quality, attention to detail, proofreading, and follow-through.
    • Strong organization, scheduling, logistics coordination, and ability to manage multiple priorities and time-sensitive deadlines.
    • Professional customer-service orientation and clear communication with candidates, employees, managers, vendors, and HR partners.
    • Ability to follow documented procedures and approvals, maintain controls, and recognize when an item requires escalation to an HR specialist.
    • Comfort learning and using Workday, applicant-tracking, DocuSign, SharePoint/OneMeridian, document-management, and other HR technologies.
    • Sound judgment, discretion, confidentiality, integrity, and sensitivity when handling employee and candidate information.
    • Adaptability, initiative, resourcefulness, and ability to work effectively in a collaborative and evolving HR Center of Excellence
    • Travel: Up to 5%
