HR Coordinator (I-9 Compliance)

Western Digital is seeking a detail-oriented HR Coordinator to join the HR Operations team on a 6-month contract assignment. This role will focus on employment eligibility verification and I-9 compliance activities, supporting new hire onboarding while ensuring adherence to federal regulations and company policies.

Key Responsibilities

I-9 Processing & Compliance

  • Complete Section 2 of Form I-9 for new hires within required federal deadlines.
  • Review and verify employee identity and employment authorization documentation in accordance with USCIS requirements.
  • Accurately enter I-9 information into HR systems and maintain supporting documentation.
  • Escalate incomplete, missing, or questionable documentation to the HR Operations Manager.
  • Support compliance efforts by following established policies, procedures, and quality standards.

Records Management

  • Maintain organized electronic and/or physical I-9 files in accordance with retention requirements.
  • Ensure documents are properly filed, labeled, and securely stored.
  • Track reverification dates and maintain related reporting and spreadsheets.
  • Assist with audits and document retrieval requests as needed.

Administrative Support

  • Communicate with employees and managers regarding pending I-9 requirements and deadlines.
  • Respond to basic questions related to employment eligibility verification.
  • Support ongoing HR Operations initiatives and administrative projects.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field, OR currently pursuing a degree in a related discipline.
  • Alternatively, 1+ year of administrative experience in HR, legal, compliance, operations, or a similar environment.
  • Strong attention to detail and ability to follow established procedures with accuracy.
  • Excellent organizational, communication, and time-management skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency with Microsoft Office and data entry systems preferred.
