Human Resources Coordinator
Location: Livermore, CA
Employment Type: Contract-to-Hire
Pay Range: $28.00 - $31.50/hour
The Human Resources Coordinator provides comprehensive support to the Human Resources team in areas including employee onboarding, orientation, training coordination, reporting, records management, wellness initiatives, benefits administration, and HRIS support. This role utilizes various software systems to maintain employee records, administer benefit programs, and support day-to-day HR operations.
The ideal candidate is highly organized, detail-oriented, maintains strict confidentiality, and delivers exceptional internal customer service while supporting a variety of HR and administrative functions.
Reporting directly to the Human Resources team, this position plays a key role in ensuring efficient HR operations while supporting employees throughout the employee lifecycle.
Key Responsibilities
Administrative Support
Welcome visitors and respond to incoming phone calls, emails, and inquiries.
Perform a variety of clerical and administrative duties in support of the Human Resources department.
Provide administrative support to other departments as needed.
Review and verify HR-related invoices prior to approval.
Maintain organizational charts and HR documentation.
Research, compile, and analyze data to support departmental initiatives.
Coordinate company events and employee communications.
Human Resources Administration
Maintain employee records within the HRIS and personnel filing systems.
Enter and update employee information accurately and timely.
Prepare standard and ad hoc HR reports.
Communicate payroll-related changes to the payroll team.
Ensure compliance with record retention policies and procedures.
Maintain required labor law postings and workplace notices.
Conduct new hire onboarding and orientation.
Prepare separation paperwork and conduct exit interviews.
Support affirmative action reporting and compliance initiatives.
Coordinate employee wellness programs and activities.
Maintain records required for government and regulatory reporting.
Recruiting Support
Post job openings on external job boards and recruitment platforms.
Conduct initial candidate phone screenings.
Schedule interviews and coordinate recruitment logistics.
Complete reference checks and background screenings.
Partner with staffing agencies and external recruitment vendors.
Coordinate temporary staffing requests.
Benefits Administration
Serve as a point of contact for benefit vendors and third-party administrators.
Coordinate annual open enrollment activities.
Assist employees with various leave programs, including:
FMLA
Short-Term Disability
Long-Term Disability
Bereavement Leave
Jury Duty
Military Leave
Prepare and process required leave documentation.
Training Coordination
Utilize a Learning Management System (LMS) to schedule and track employee training.
Maintain training records and certification documentation.
Coordinate training logistics, schedules, and materials for HR-sponsored programs.
Safety & Workers' Compensation
Process workplace injury reports and workers' compensation claims.
Coordinate communications with medical providers and insurance carriers.
Support workplace safety initiatives and employee response teams.
Prepare, post, and distribute required safety-related documentation.
Responsibilities may change based on business needs.
Qualifications
Required
Associate degree preferred.
3-4 years of Human Resources or related administrative experience.
Ability to maintain strict confidentiality.
Strong organizational and time-management skills.
Ability to manage multiple priorities and deadlines.
Excellent attention to detail and accuracy.
Strong verbal and written communication skills.
Advanced Microsoft Office skills, including Excel, Word, and Outlook.
Strong research, planning, and analytical skills.
Working knowledge of federal and state employment laws.
Preferred
Experience with HRIS platforms.
Experience supporting employee benefits administration.
Experience coordinating onboarding, training, and recruiting activities.
Manufacturing or technical industry experience is a plus.
