Position Summary:
The HR/Culinary Assistant provides administrative assistance to the human resources and culinary departments.  This is a dual role that will share work between both departments.

Essential HR Duties & Responsibilities:
  • Responsible for creating job postings and screening applications for matching work experience.  Forward potential matches to applicable department head for review
  • Responsible for pre-employment process to include background checks, obtain drug test results, references and other pre-hire requirements as well as ensure records are appropriately maintained.
  • Facilitates, and delivers new hire on-boarding program to include steps of new hire process and new hire orientation with facility tour.
  • Serves as liaison between department managers and candidates during the entire recruitment process.
  • Serve as administrative liaison between Addison Reserve and Corporate Housing Pros by sending housing questionnaires, coordinating assignments, sending move-in and move-out schedules and instructions.
  • Composes verification of employment, work experience, and reference letters as needed.
  • Compiles employee handbooks, manuals, training guides and benefit enrollment packets.
  • Send out mandatory mailings as needed. Including Monthly Birthday Cards.
  • Communicates employee info through digital boards and employee “App.”
  • Compiles and maintains employee files for all employees.
  • Assists with employee relations as needed including employee celebrations, events, and birthdays.
  • Order, organize, and distribute international welcome packages.
  • Responsible for the distribution, copies and storage of locker and apartment keys.
  • Assist with the international visa program where needed.
  • Ensures all EEOC and OSHA postings and posters are compliant and updated.
  • Assists Director of HR and Assistant HR Director with other HR related duties and projects as necessary.

Essential Culinary Duties & Responsibilities:
  • Track tardiness of culinary employees.
  • Assist Executive Sous Chef with Payroll
  • Keep up with weekly BEO’s and Daily BEO’s, including revisions and pop ups to disseminate to Executive Chef, Exec Sous Chef, all Sous Chefs including Pastry/Production.  This will include printing and filing.
  • Provide daily complaints from Vivid Survey from our Members to Exec Chef and Exec Sous Chef
  • Assist with member’s inquiries and provides information about membership and special functions.
  • Handle Purchasing order/ tracking and receiving of special orders for culinary.
  • Research and price equipment for the culinary team as needed
  • Distribute of Culinary Employee information I.E. Gift card/RSVP for Bowling/ employee party/etc….
  • Organize, plan and execute culinary employee events.
  • Create, print, catalog and download all menus and like collateral (i.e. cooking class booklets, table tents, allergy cards, brochures, etc.). Email to PDF to management
  • Communicate stewarding staffing needs from Exec Sous Chef to cleaning company weekly.
  • Handle all travel arrangements for Exec Chef and Sous Chefs as needed.
  • Reconcile expense reports and travel reports for Executive Chef
  • Order and keep par levels of Chef’s Uniforms and Shoes.
  • Track “call outs” and mark in 7 shifts.
  • Check hours of ops/ scheduling needs/ communicate changes in venue. 
  • Maintain and update food notes for all outlets and take food notes for new menus. 
  • Create “mise-en-place” lists for new menus.
  • Assist F&B Admin with menu rotation and menu changes.
  • Receives and screens visitors.
  • Special projects as directed by the Executive Chef.
  • Willingness to work a flexible schedule when necessary.

Job Knowledge, Skill Requirements
  • Administrative experience within a fast paced, hospitality environment.
  • Superior organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to work independently.
  • The ability to maintain the highly confidential nature of HR issues and communications. 
  • Excellent verbal and written communication skills.
  • Superior interpersonal skills.
  • Follows through on all requests in a timely and efficient manner.
  • Strong  computer proficiency with MS Office, applicant tracking software, advanced knowledge of Excel, as well as ability to adapt and learn new systems.
  • Previous administrative experience in the hospitality industry.
  • Develop and maintain effective, positive, and productive relationships with the HR and Culinary teams, hiring managers and other associates and departments.

Education/Experience/Certificates/Licenses:         
  • 2 years experience in hospitality or related field.
  • Bachelor’s degree in human resources, hospitality, business, or related degree preferred.
  • Experience in a high-volume office environment with confidentiality understanding.

Physical Demands:   
  • Must be able to lift, push and pull a minimum of 15 lbs.
  • Must be able to sit for prolonged periods of time.
