Summary:

The HR Generalist – Leave Administration serves as the primary administrator for all employee leave programs, including Family and Medical Leave (FMLA), disability, military leave, workers’ compensation coordination, and other approved leaves of absence. This position ensures compliance with all applicable federal, state, and local leave regulations while providing exceptional support to employees and managers throughout the leave process. The position also assists with employee relations, accommodations, return-to-work programs, and other human resources functions as assigned.

Major Duties and Responsibilities:

Leave Administration

  • Administer all leave of absence programs including FMLA, ADA accommodations, disability leave, military leave, personal leave, paid family leave, and state-specific leave programs.
  • Serve as the primary point of contact for employees and managers regarding leave-related questions and requests.
  • Review leave requests and determine eligibility in accordance with company policy and applicable laws.
  • Issue required leave notices, certifications, designation notices, and related documentation.
  • Track and manage all leave cases from initiation through return to work.
  • Maintain accurate leave records and ensure compliance with all documentation requirements.
  • Monitor intermittent leave usage and ensure proper tracking of leave hours.
  • Coordinate with third-party leave administrators, insurance carriers, payroll, and management as needed.
  • Track employee benefit premium payments during periods of leave.
  • Coordinate return-to-work processes, including fitness-for-duty certifications and accommodations.
  • Ensure all required physical capability forms and physical agility testing requirements are completed prior to return to duty.
  • Maintain leave administration reports and provide regular updates to HR leadership.

ADA & Accommodations

  • Coordinate the interactive process for reasonable accommodation requests.
  • Partner with employees and management to identify and implement reasonable accommodations.
  • Maintain documentation related to ADA requests and accommodations.

Workers’ Compensation & Light Duty Coordination

  • Assist with return-to-work planning and transitional duty assignments.
  • Coordinate light-duty opportunities with department leadership.
  • Monitor employees participating in modified duty programs.

Employee Relations & Compliance

  • Assist employees and managers with HR-related inquiries.
  • Provide guidance on company policies and procedures.
  • Support investigations and employee relations matters as assigned.
  • Ensure compliance with federal, state, and local employment regulations.

HR Operations

  • Assist with onboarding and orientation.
  • Process employee status changes and maintain personnel records.
  • Support HR projects and initiatives as assigned.

 

Minimum Qualifications:

  • Bachelor’s degree in Business Administration or Human Resources administration/management required
  • Effective oral and written communication skills.
  • Good interpersonal skills.
  • Self-motivated and organized.
  • Basic mathematical skills.
  • Computer knowledge including Excel, Access, Microsoft Word.
  • Minimum of 4 years of Human Resources or administrative experience with knowledge of human resources functions and laws.

 

Preferred Qualifications

  • 3+ years of leave administration experience.
  • Experience administering FMLA, ADA, disability, and state leave programs.
  • Experience working with third-party leave administrators.
  • Knowledge of federal and state leave regulations.
  • Experience with HRIS systems such as UKG.
  • Associates degree
  • SHRM-CP, PHR, CLMS, or similar certification required if .

Physical Requirements:

  • Occasionally:  Walking inside, carrying no greater than 25 pounds, kneeling, stooping, bending, leaning. 
  • Frequently:  Hearing/listening, clear speech, reaching, touching, typing.
  • Constantly:  Sitting, seeing.
