Job Summary: 

Ardalyst is seeking a motivated and experienced Human Resources and Office Manager in Fort Collins, CO to join our dynamic team. This role is central to the back-office operations of a growing cybersecurity and digital transformation startup. The Office Manager will own the full employee lifecycle — from recruiting and hiring through onboarding, benefits administration, HR compliance, and employee engagement. You will work closely with leadership and supervisors to ensure a positive, compliant, and high-performing workplace, while also keeping up on the maintenance and cleanliness of our office spaces. Strong organizational skills, sound judgment, and a proactive approach to problem-solving are essential for success in this role.

Potential Duties/Responsibilities:

General Office Management

  • Manage and maintain calendars for executive team members, including scheduling meetings and coordinating logistics

  • Coordinate food ordering for office events, meetings, and team lunches

  • Order and maintain office supplies and communicating with other office locations on packages

  • Provide travel assistance for employees, including booking flights, hotels, and ground transportation

  • Partner with Accounting to ensure all employees have entered and approved time and expenses in a timely manner

  • Perform scanning, filing, and maintenance of physical and electronic records

  • Manage office space requirements, including identifying and securing workspace in remote locations as needed

  • Use AI to help automate processes and create AI agents to streamline operations

  • Conduct research on various topics as assigned, including but not limited to Microsoft usage, CMMC guidelines, and how to maximize internal processes

Hiring & Recruiting

  • Partner with supervisors to define job requirements and determine appropriate compensation ranges

  • Post open positions and manage applicant pipelines

  • Screen resumes and schedule candidate interviews

  • Lead salary and benefits negotiations with candidates; issue offer letters and keep supervisors informed of outcomes

  • Coordinate and monitor background checks; communicate any red flags or delays to the hiring manager

  • Coordinate with internal stakeholders upon offer letter signing and completed background checks to initiate payroll setup and onboarding

  • Resolve any issues with new hire paperwork, including I-9 and Paychex forms

Onboarding

  • Schedule and facilitate onboarding meetings, including benefits and company guidelines orientation

  • Train new employees on BigTime time-tracking system

  • Confirm completion of required items such as CUI training and benefits enrollment

  • Order accessories and equipment; submit CRM requests for laptops and user IDs

  • Coordinate with IT/security team to resolve any access or security issues

HR Management & Compliance

  • Serve as the primary HR resource for employees on matters including discrimination, health insurance, workplace conflict, and payroll questions

  • Maintain current knowledge of employment law, including exempt vs. non-exempt classifications, state PTO guidelines, unemployment regulations, and minimum wage requirements; apply this knowledge to offer letters and terminations

  • Maintain organized and up-to-date HR and Benefits documentation

  • Provide supervisors with accurate pay scale information to support compensation decisions

  • Develop and manage the performance review and raise process in partnership with supervisors

  • Work with supervisors to review and respond to PTO requests that exceed available balances; issue overage letters as needed

Benefits & Insurance

  • Research and make recommendations on company benefit offerings (e.g., FMLA policy vs. Ardalyst's 4-week parental leave program)

  • Drive the annual insurance renewal process, working with the executive team on plan decisions

Operations & Employee Morale

  • Partner with leadership and purchasing contacts to manage laptop availability, procurement decisions, and stocking locations

  • Lead employee morale initiatives including holiday gifts, company swag, and other engagement programs

Requirements:

  • Ability to manage time effectively, prioritize tasks and proven ability to meet deadlines.

  • Self-motivated, highly organized, and detail-oriented with the ability to work independently or collaboratively

  • Demonstrated professionalism, reliability, and discretion when handling sensitive employee information

Qualifications:

  • Bachelor’s degree in Human Resources or Business Administration or 1-2 years of experience in HR or business administration roles.

  • Knowledge of HR practices, employment law, and benefits administration

  • Strong knowledge of Microsoft Office products, especially Word and Excel

  • Familiarity with HRIS or payroll systems (Paychex experience a plus)

  • Superior attention to detail

  • Aptitude for learning new software and systems quickly

  • Willingness and ability to engage with AI
