Description


The HR Operations & Payroll Coordinator supports the Human Resources function by coordinating ADP reporting, payroll administration, time and attendance administration, employee recognition reporting, state licensing, provider credentialing, new-hire technology setup, and other assigned administrative operations.

Essential Duties & Responsibilities

ADP Reporting & Administration

  • Generate and distribute routine and ad hoc reports from ADP Workforce Now.
  • Prepare operational reports for leadership.

Payroll Administration

  • Process payroll through ADP Workforce Now. 
  • Review payroll data for accuracy and completeness prior to payroll processing. 
  • Audit employee timecards and resolve routine payroll discrepancies in coordination with managers. 
  • Process payroll-related changes, including new hires, terminations, pay rate changes, deductions, and direct deposit updates. 
  • Assist employees and managers with routine payroll questions. 
  • Maintain payroll records and support compliance with company policies and payroll procedures.

Time & Attendance

  • Review and process PTO requests in ADP.
  • Generate time and attendance reports.
  • Monitor time and attendance workflows to ensure timely processing.
  • Assist managers with routine timekeeping questions.

Employee Recognition & Reporting

  • Track positive patient feedback through Google Reviews, Sycle, patient emails, phone calls, and other recognition sources.
  • Compile employee recognition information for leadership review and company recognition programs.
  • Prepare recognition reports and summaries as requested.

State Licensing Administration

  • Monitor Hearing Instrument Specialist (HIS) licensing requirements and renewal dates.
  • Maintain licensing records and documentation.
  • Coordinate renewal reminders and collect required documentation.
  • Communicate with state licensing boards and employees regarding licensing requirements and examinations.

Provider Credentialing 

  • Work with the Insurance Coordinator to credential providers for any insurance company AHC participates with.

New Hire Technology Support

  • Create company email accounts for new employees.
  • Coordinate user account setup and system access.
  • Ensure new hires have the necessary technology and system access prior to their start date.
  • Coordinate shipment of company equipment when needed.

Administrative Operations

  • Coordinate maintenance requests.
  • Order office and clinic supplies.
  • Process hearing aid orders.
  • Coordinate phone forwarding requests.
  • Perform other administrative duties as assigned.

Required Qualifications

  • Previous administrative or operations experience.
  • High School Diploma (Required)
  • Experience processing payroll through ADP Workforce Now.
  • Strong organizational skills.
  • Excellent customer service and communication skills.
  • Ability to prioritize multiple tasks.
  • Close attention to detail.
  • Proficient in Microsoft Office.
