Job Summary
The Human Resources Operations Specialist provides administrative and operational support for Human Resources by processing personnel actions, maintaining accurate employee records, and supporting HR data management activities. This role is responsible for ensuring data accuracy, monitoring personnel deadlines, preparing reports, and maintaining confidential employee information while supporting multiple Human Resources systems and processes. The ideal candidate is highly organized, detail-oriented, and experienced in HR administration and data entry.
Job Responsibilities
Perform accurate data entry, data verification, report preparation, and records tracking.
Process personnel transactions, including reappointments, appointment letters, notification letters, and related documentation.
Maintain spreadsheets, tracking logs, and time and leave records.
Review personnel transactions and employment documentation to ensure accurate HR system data entry.
Coordinate with departments to collect, organize, and maintain required personnel documentation.
Monitor personnel action deadlines and conduct routine follow-up to ensure timely processing.
Support recruitment operations and applicant tracking system activities.
Maintain accurate and consistent job posting information within Human Resources systems.
Generate reports and maintain organized personnel records.
Protect the confidentiality of employee and personnel information.
Assist with additional Human Resources administrative and data management projects as assigned.
Job Requirements
Previous experience in Human Resources, HR Operations, personnel administration, administrative support, or data entry required.
Experience processing personnel transactions or maintaining employee records preferred.
Recruitment operations or applicant tracking system (ATS) experience preferred.
Experience using HRIS, ATS, PeopleSoft, Workday, or similar Human Resources systems preferred.
Strong data entry skills with exceptional attention to detail and accuracy.
Experience using Microsoft Excel, including maintaining spreadsheets, tracking reports, and managing data.
Ability to manage multiple priorities and monitor deadlines effectively.
Strong organizational, written, and verbal communication skills.
Ability to maintain confidentiality while handling sensitive personnel information.
Ability to work collaboratively with multiple departments while managing competing priorities.
Proficiency with Microsoft Office applications.
Education
High school diploma or equivalent required.
Associate's or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
