About the Indiana State Personnel Department (INSPD):

As an agency operating a shared services model, we provide the executive branch of state government with top-notch Human Resources services. INSPD has a dedicated team of human resources professionals working in many capacities, including director-level, generalists, and specialists in each discipline of human resources. Role Overview:

As the HR Service Center Representative, you will be responsible for serving as the Data Entry Specialist to provide transactional HR support for employee records. You will also support the ASM ticketing system to provide guidance and manual updates for customers processing requests for employee and contingent worker records. You will learn to perform specialized paraprofessional human resources functions requiring technical knowledge of PeopleSoft HRIS system and act as a consultant on such.

Salary:

The salary for this position traditionally starts at $37,648.00 but may be commensurate with education and work experience. Use our Compensation Calculator to view the total compensation package.

A Day in the Life:

The essential functions of this role are as follows:

  • Assist smaller centralized agencys HR director with the hiring process such as creating requisitions, initiating background checks, creating offer letters and final offers.
  • Contact prospective employees previous employers and education institutions for the purposes of validating work and education history.
  • Analyze and evaluates applicability of information collected.
  • Data entry of information verified over the phone or email (i.e. employment dates, graduation date, degree achieved, etc.).
  • Persistently finds the appropriate source to verify information, including multiple organizations and levels of authority.
  • Assist agencies with the hiring process, including completing employment and education verifications and background checks.
  • Assist HR staff with the process as it pertains to applicant verifications.
  • Aid as needed or requested in all areas of HR including special projects, such as assistance with file maintenance per the personnel file retention guidelines.
  • Aid as needed with administrative support to the HR Data and Shared support divisions.
  • Perform other related duties as assigned.
  • Assist in managing the SPD Helpdesk by evaluating and routing IOT tickets to the appropriate SPD division.
  • Accurately completes data entry for assigned agencies related to employee records.
  • Complete termination process for voluntary terminations and retirements.

What Youll Need for Success:

Individuals in this role should minimally be able to articulate or demonstrate the following:

  • Ability to use a human resource information system (HRIS) at an intermediate to advanced level.
  • Ability to follow instructions.
  • Ability to operate commonly used manual and automated office equipment.
  • Ability to work with a variety of Microsoft Office software products at an intermediate to advanced level.
  • Ability to type in a timely and accurate fashion.
  • Ability to perform a variety of tasks simultaneously.
  • High level of organizational skills.
  • Ability to work independently.
  • Specialized knowledge of personnel forms and their purpose.
  • Ability to attend to detail and maintain accuracy and confidentiality.
  • Ability to effectively communicate.
  • Considerable knowledge of the State of Indiana's human resources functions, systems, processes, procedures and practices.
  • Considerable knowledge of the departmental functions and the organization of the agency.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
