We are seeking a highly organized, detail-oriented Part Time HR Specialist to manage critical HR administrative, compliance, and data management workflows. This role will work significantly with UKG Ready, our HR data system, ensuring accurate employee lifecycle updates, as well as handle invoice management. The ideal candidate will have strong experience with HRIS platforms (preferably UKG Ready) and a sharp eye for data integrity and data reporting.
Schedule & Hours
- Hours: Approximately 16 to 20 hours per week.

Key Responsibilities
HRIS & Data Management
- Manage and maintain accurate employee profiles within UKG Ready.
- Complete and monitor electronic HR actions and workflows to ensure they progress efficiently to completion.
- Track key employee milestones and dates, ensuring timely processing for probation completion, longevity pay increases, promotional increases, and annual retired police officers recertifications.
- Ensure all new hire system entry is fully and accurately completed.
- Complete data entry and ongoing database clean-up required for the KPPA (Kentucky Public Pensions Authority) file.
- Handle position management data within UKG Ready.
- Fulfill miscellaneous UKG reporting requests as needed.
Compliance, Recordkeeping, and Invoice Management
- Process quarterly unemployment payments and respond promptly to state unemployment requests.
- Manage invoice and purchase order management for the HR department.
- Coordinate qualifying life events for health and auxiliary benefits.
- Oversee COBRA notifications and compliance tracking.
- Prepare and submit federal EEO-4 compliance reports.
- Respond to Family and Medical Leave Act (FMLA) requests.
- Maintain Department of Transportation (DOT) Clearinghouse records and execute mandatory annual driver queries.
- Maintain and update the drug testing database.
- Assist with gathering documentation for Open Records requests and wage/benefit surveys.
- Ensure accurate and secure electronic filing by logging all relevant documents into digital employee personnel records.
- Experience: 2+ years of experience in Human Resources preferred.
- Systems Expertise: Hands-on experience with UKG Ready is highly preferred.
- Attention to Detail: Exceptional data entry accuracy and a strong knack for spotting discrepancies.
- Compliance Knowledge: Basic familiarity with FMLA, COBRA, DOT Drug and Alcohol Clearinghouse guidelines, and Kentucky Public Pension data requirements is a major plus.
- Discretion: Proven ability to handle highly confidential and sensitive employee data with strict professionalism.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
Duties typically performed in an office setting, but may work in other settings. Some lifting and bending is required of this position.
