Heinzerling Community is seeking a detail-oriented, dependable, and organized Human Resources & Payroll Coordinator to support our HR and payroll operations. This position plays a critical role in ensuring the accuracy of employee records, payroll processing, and HR compliance while providing exceptional service to employees throughout their employment journey.

Essential Responsibilities
Payroll & Auditing
Reviewing timecards for up to 500 employees
Assist with the preparation, processing, and auditing of payroll to ensure accuracy and timely completion.
Review payroll reports and employee data for accuracy, identifying and resolving discrepancies.
Audit employee records and HR documentation to ensure compliance with organizational policies and applicable employment laws.
Support internal HR and payroll audits, compliance reviews, and reporting requirements.
Maintain accurate payroll and personnel records within ADP and other HR systems.
Human Resources Administration
Maintain confidential employee files and electronic personnel records.
Process employee data changes, including new hires, transfers, status changes, and terminations.
Assemble, review, and audit new hire paperwork, including I-9s, tax forms, direct deposit information, and other employment documents.
Conduct background checks, reference checks, and exclusion screenings.
Create and issue employee identification badges.
Respond to employee and applicant questions regarding standard HR and payroll processes.
Assist with surveys, reporting, and regulatory compliance activities.
Support employee recognition programs and other HR initiatives.
Participate in new hire orientation and onboarding activities.
Maintain the highest level of confidentiality while handling sensitive employee information.
Qualifications
Required Skills
Exceptional attention to detail with a strong focus on accuracy and quality.
Experience reviewing, auditing, and maintaining confidential records.
Strong organizational and time management skills with the ability to prioritize multiple tasks.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office, including Word, Excel, and Outlook.
Ability to maintain confidentiality and exercise sound judgment.
Collaborative, dependable, and customer-service oriented.
Preferred Qualifications
Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field, or equivalent experience preferred.
Previous Human Resources, Payroll, or Administrative experience preferred.
Experience using ADP or another HRIS/payroll system.
Knowledge of employment laws, payroll processes, and HR compliance requirements.
