Overview:

The HRIS Analyst adminisiters and continuously optimizes the core Human Resource Information System (HRIS), as well as other IT platforms with HR functions (i.e., time & attendance, payroll, applicant tracking, and learning management system). This role involves collaborating with HR staff, I.S., and Payroll to analyze system needs, implement system improvements, and maintain data accuracy and integrity. This position will manage data entry and/or data uploads and conduct frequent audits to ensure employee records are accurate, consistent, and compliant with all applicable legal and regulatory requirements. Works closely with HR and SVH staff to analyze workflows and leverage the return on technological capabilities, manages system upgrades and troubleshooting, oversees user access, creates documentation, and conducts training as needed. Participates in SVH committees and/or teams, as requested.

Responsibilities:

System Administration & Maintenance: Manages the daily operations of the HRIS and Time & Attendance systems, ensuring efficient and optimized functionality and security. Works directly with system vendors to resolve questions/issues and ensures system upgrades, patches, and configuration changes are correctly implemented and up-to-date. Provides technical support, troubleshooting, and resolution for system-related issues and serves as a primary point of contact for inquiries and problems. Manages user access and security permissions. 

 

Data Management: Manages all personnel transactions (new hires, status/salary changes, transfers, terminations, etc.) in all HR-related systems (HRIS, Payroll, Time & Attendance, EHR, LMS, etc.) ensuring completeness, accuracy, and appropriate timeliness of entry. Manages the import and export of data as needed and performs regular audits to identify and correct data inconsistencies across all HR systems and ensures compliance with with all applicable employment and payroll laws. Enforce strict system security roles to ensure data handling aligns with HIPAA regulations.


Reporting and Analytics: Generates routine and ad-hoc employee data reports, utilizing custom-built or existing system reporting and analytic tools. This includes mandatory state and federal reports, such as EEO-4, as well as ad-hoc reports as required by regulatory agencies. Generates timely organizational turnover reports and other quality monitoring and performance improvement data reports. Also responsible for producing survey data response reports, such as employee engagement, salary data, and other workforce analytics. 

 

Credential Tracking: Maintain automated workflows tracking required clinical licenses, certifications, and employee health screenings. Configure automated alerts for upcoming expirations to prevent staffing lapses. Manages data tracking in support of policy and regulatory compliance; generates communications to departmental leadership and hospital staff in regards to missing documentation; generates standard reports and develops new reports, as needed. Conduct regular internal audits of employee files to ensure primary source verification is documented.

 

Process Improvement: Collaborate with HR, IT, and/or individual departments to identify and implement process improvements. Develop and document efficient workflows and processes that maximize system capabilities, working with vendor as necessary. Continuously monitors information needs and designs new or modifies existing systems to meet requirements.

 

Training and Development: Develop and continuously update training materials for HRIS, Time & Attendance, and other HR-related systems utilized by SVH staff. Provides assistance to users, helping staff understand system functionalities and improve their proficiency. 

Qualifications:

Education: Bachelor's Degree in Computer Science, Human Resources, Business Administration, or other closely related field; or an equivalent combination of training, education, and experience necessary to meet the essential roles & responsibilities of the position.
Experience: Minimum 2-3 years' previous experience as an HRIS Analyst with at least one year of experience working directly within a hospital system or healthcare organization strongly preferred.
Licenses & Certifications: PHR or PHR-CA (HRCI), or SHRM-CP certification desirable.
Required Skills & Knowledge: Proficiency in enterprise HRIS platforms, such as Sage People and UKG Pro Workforce Management. Knowledge of state and federal laws and regulations affecting employment (FLSA, EEOC, OSHA, CA Wage Orders, etc.). Must be able to work in a fast paced environment with the ability to juggle and prioritize multiple tasks. Excellent verbal and written communication skills, strong organizational skills, and strong personal computer skills, including a high level of proficiency in Excel, Word, PowerPoint, Access and Outlook. Experience producing reports and the ability to analyze employee/employment data and formulate recommendations. Familiarity with configuring unique healthcare schedules, including 12-hour shifts and alternative workweek schedules helpful. Requires a high degree of motivation and initiative; must be able to communicate effectively at all levels throughout the organization; ability to maintain confidentiality and build relationships based on trust; demonstrates ethical practice and cultural awareness. Bilingual in Spanish desireable.

Compensation: Actual compensation takes into account several factors including but not limited to a candidate’s experience, education, skills, licensure and certifications, department equity, training and organizational needs. Eligible roles also qualify for a comprehensive benefits package. Minimum:: USD $102,573.00 Maximum:: USD $141,037.00
