    HR Assistant

    Position Summary

    We are seeking a dependable, detail-oriented HR Assistant to support day-to-day Human Resources and timekeeping functions. This position will assist with employee records, timecard administration, onboarding, HR documentation, and general employee support.

    The ideal candidate is highly organized, maintains confidentiality, has experience working with employee timecards, and is familiar with California labor laws and California Labor Commissioner requirements applicable to areas such as timekeeping, meal and rest periods, overtime, and wage-and-hour practices.

    Key Responsibilities

    •      Assist with daily Human Resources administrative functions and employee inquiries.

    •      Maintain accurate and confidential personnel files, HR records, and employee documentation.

    •      Review, collect, and maintain employee timecards and timekeeping records for accuracy and completeness.

    •      Follow up with employees and supervisors regarding missing punches, timecard discrepancies, corrections, and required approvals.

    •      Assist with preparing accurate timekeeping information for payroll processing.

    •      Maintain records related to attendance, absences, overtime, meal periods, and other timekeeping activity.

    •      Assist HR with monitoring timekeeping practices for compliance with company policies and applicable California requirements.

    •      Support employee onboarding and offboarding, including completing and maintaining required documentation.

    •      Assist with new-hire paperwork, employment eligibility documentation, orientation, and employee record updates.

    •      Maintain familiarity with California wage-and-hour and employment requirements, including applicable rules regarding overtime, meal periods, rest periods, timekeeping, and recordkeeping.

    •      Support HR with workers' compensation, benefits, leave administration, safety documentation, and other employee-related processes as assigned.

    •      Prepare HR reports, spreadsheets, correspondence, and employee documentation.

    •      Assist with employee relations matters by documenting information and escalating issues to HR leadership as appropriate.

    •      Maintain strict confidentiality regarding employee and company information.

    •      Perform general administrative duties and additional HR-related responsibilities as assigned.

    Qualifications

    •      High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business Administration, or a related field preferred.

    •      Previous HR Assistant, HR Coordinator, payroll, timekeeping, or administrative experience preferred.

    •      Familiarity with California labor laws and California Labor Commissioner requirements, particularly wage-and-hour and timekeeping requirements.

    •      Experience reviewing and maintaining employee timecards and attendance records.

    •      Familiarity with payroll and HRIS/timekeeping systems preferred.

    •      Proficiency with Microsoft Office, including Outlook, Word, and Excel.

    •      Strong organizational skills and attention to detail.

    •      Ability to manage multiple priorities and meet deadlines.

    •      Strong written and verbal communication skills.

    •      Ability to work professionally with employees, supervisors, and management.

    •      Ability to maintain confidentiality and appropriately handle sensitive employee information.

    Preferred Skills

    •      California HR or payroll/timekeeping experience.

    •      Knowledge of meal and rest period, overtime, and recordkeeping requirements.

    •      Experience researching and applying HR policies and procedures.

    •      Bilingual English/Spanish is a plus.

    •      Strong data-entry and record-management skills.
