HR Specialist/Representative Role Summary
This is an exciting opportunity for someone to gain broad generalist exposure to all aspects of human resources. Providing support to the VP Human Resources and HR Managers, the HR Specialist/Representative provides comprehensive administrative and operational support to all company locations across key human resources functions including talent acquisition, onboarding, HRIS administration, compliance, employee records management, benefits administration, and performance management. This position serves as a primary point of contact for employees and leaders, ensuring accurate HR processes, regulatory compliance, and a positive employee experience throughout the employee lifecycle.
Functions/Responsibilities

Recruitment and Talent Acquisition
- Assist with the full-cycle recruitment process for assigned positions.
- Post job openings, screen applications, schedule interviews, and communicate with candidates throughout the hiring process.
- Conduct reference checks, background screenings, and pre-employment verifications.
- Maintain applicant tracking systems and recruitment records.
- Partner with hiring managers to support workforce planning and staffing needs.
- Participate in job fairs, recruiting events, and employment branding initiatives.
Onboarding and Employee Integration
- Coordinate new hire onboarding activities and orientation programs.
- Prepare and distribute onboarding materials and employment documentation.
- Ensure completion of all required employment forms and compliance documentation.
- Facilitate new employee introductions and integration into the organization.
- Track onboarding milestones and support employee engagement during the onboarding period.
HRIS Administration and Reporting
- Maintain accurate employee data within the Human Resource Information System (HRIS).
- Enter, update, audit, and validate employee information including hires, transfers, promotions, compensation changes, and terminations.
- Generate routine and ad hoc HR reports and workforce metrics.
- Support HRIS upgrades, testing, and process improvements.
- Ensure data integrity, confidentiality, and compliance with company policies.
Compliance and Personnel Records Management
- Maintain employee personnel files in accordance with federal, state, and local regulations.
- Ensure completion and retention of required employment records, including I-9 documentation.
- Assist with audits and compliance reviews.
- Monitor compliance with company policies, employment laws, and regulatory requirements.
- Support preparation and maintenance of HR policies, procedures, and documentation.
Payroll and Timekeeping Administration
- Process employee timecards and review timekeeping records for accuracy and completeness.
- Assist with payroll preparation and submission in accordance with established deadlines
- Investigate and resolve payroll discrepancies and employee inquiries
- Track attendance points and work with supervisors to coach employees
- Collaborate with Finance and Payroll personnel to ensure accurate compensation processing.
Benefits Administration
- Assist employees with benefit enrollment, changes, and questions.
- Coordinate benefit eligibility tracking and enrollment activities.
- Support annual open enrollment processes
- Assist with leave management including FMLA, worker's compensation, short and long-term disability
- Serve as a liaison between employees and benefit vendors when appropriate.
- Maintain accurate benefits records and documentation.
Performance Management and Employee Support
- Support administration of performance review processes and timelines.
- Track completion of performance evaluations and development plans.
- Assist managers with performance management documentation and workflows.
- Support employee recognition, engagement, and retention initiatives.
- Respond to employee inquiries regarding HR policies, procedures, and programs.
General Human Resources Support
- Assist with HR projects, initiatives, and organizational development activities.
- Prepare correspondence, reports, presentations, and other HR-related communications.
- Participate in the company social committe - Oxco Cares to plan and execute employee events
- Maintain confidentiality of sensitive employee and organizational information.
- Recommend process improvements to enhance efficiency and employee experience.
- Perform other duties as assigned.
Qualifications
Education
- Bachelor's degree in Human Resources, Business Administration, Psychology, Organizational Development, or a related field required. PHR Certification or relevant HR experience may substitute for education requirement.
Experience
- 2+ years of progressive human resources experience, preferably in a manufacturing environment.
- Solid understanding of labor laws and ability to identify areas of non-compliance.
- Experience with recruitment, onboarding, HRIS administration, and employee records management preferred.
- Experience working with HRIS and payroll systems required.
License or Certification:
- SHRM-CP, PHR, or other HR-related certification preferred.
