This position is located at MCAS Miramar, MCCS Human Resources Department. Candidates selected for this position will serve as a Human Resources Assistant.
Major Duties
SUMMARY OF DUTIES:
Serves as the first point of contact for inquiries regarding human resources policies, benefits, and programs. The Human Resources Assistant plays a key role in maintaining accurate employee records, supporting onboarding and offboarding, ensuring compliance, and providing administrative support to the department. This position requires a strong sense of discretion and confidentiality in handling sensitive information.
The Human Resources Assistant performs a variety of administrative tasks that contribute to the application of Human Resources policies and procedures, and support Marine Corps Community Services employees and management to include:
¿ Assist in the recruitment process by scheduling interviews, securing base access, communicating date, time, and location of interview with selected candidates, and maintaining consistent communication with the hiring manager and HR Generalist regarding status of interview schedule.
¿ Prepare interview packets, reserve interview location, and prepare interview room to include setting up telephone and/or video conferencing platforms, and assist meeting host with use of the conference platform.
¿ Assist in the onboarding process by conducting reference checks, preparing new hire paperwork, creating official personnel folders (OPF¿s), schedule employees to attend new hire orientation, and monitor completion of required onboarding documents.
¿ Schedule pre-employment drug tests and physicals for Child Youth Program employees and monitor status to ensure completion of required testing.
¿ Complete E-Verify for new hires and maintain hard copy files per policy.
¿ Assist in the coordination of the Length of Service Celebration ceremony to include pre-event coordination, RSVP of guests, securing event space, and creating commemorative gifts for recipients.
¿ Provide general clerical assistance to the HR team by proofreading, drafting and routing routine correspondence such as employment probationary letters and delegation of authority letters, maintaining OPF¿s and other HR filing systems, shredding / purging hard copy and electronic documents, responding to verification of employment requests, and processing mail.
¿ Compile information for audits, reports, and other routine tasks.
Adhere to safety rules and regulations, promptly report observed workplace hazards and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.
Adhere to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
Performs other duties as assigned.
Qualifications
One year experience in an administrative role within a professional office setting. Experience with scheduling appointments, compiling information for audits, preparing information for reports, preparing documents and packets of information for distribution, and maintenance of databases. Knowledge of office management and recordkeeping systems and procedures. Exceptional interpersonal and verbal and written communication skills, and a high degree of professionalism and ability to maintain confidential information required. Must have the ability to work effectively in a team environment as well as independently. Must have strong attention to detail and organizational skills to manage multiple projects simultaneously. Must have strong knowledge of grammar and spelling and appreciation for their direct impact in business communication. Proficiency with Microsoft Office Word, Excel, and Teams. This is a white-collar position where occasional lifting to 20 lbs. may be required.
