REGULAR HOURS:
8:00 a.m. – 4:30 p.m., Monday through Friday

JOB Summary: The HR Associate is an in-person role based in our central office based in Lynn, MA, with occasional travel across the region.
Recruitment & Hiring
- Coordinate full-cycle recruitment — posting jobs, screening applicants, scheduling interviews, and communicating with candidates.
- Maintain job postings across internal and external platforms.
- Support hiring managers with interview logistics and documentation.
- Prepare and send offer letters and pre-hire paperwork.
Onboarding & Orientation
- Facilitate new hire orientations, ensuring a welcoming and compliant experience.
- Collect and verify all onboarding documents, including I-9s and credentials.
- Set up new employees in HRIS, payroll, and internal systems.
- Coordinate technology, workspace, and training schedules.
HR Administration & Compliance
- Assist with ongoing maintenance and confidential employee files (digital and physical).
- Support compliance with federal and Massachusetts employment laws, including wage & hour, CORI, EEO, and required postings.
- Track mandatory trainings, certifications, and license renewals.
- Assist with audits, reporting, and documentation requests.
Payroll & ProLiant Support
- Ensures that any payroll changes are updated in the Notebook for Payroll Manager
- Assist employees with general ProLiant questions and elevate if needed
General HR Operations
- Maintain HR calendars, reminders, and compliance timelines.
- Support employee engagement initiatives and staff events.
- Assist with exit processes, including scheduling interviews and collecting equipment.
Qualifications
- 1-3 years of HR experience, preferably in a nonprofit or human-services setting.
- Knowledge of Massachusetts employment laws strongly preferred.
- Experience with HRIS and payroll systems.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent communication and customer-service orientation.
