The HR coordinator is responsible for supporting the employee onboarding experience through effective communications, scheduling, and coordination of pre-employment and orientation activities. This role serves as a key point of contact for new hires and internal partners to ensure a smooth, welcoming, and organized transaction into employment.
A typical day looks like:
- Manage offer letter distribution, follow-up, and acceptance tracking.
- Coordinate all pre-employment requirements including background checks, drug screens, motor vehicle records (MVRs), and related clearances.
- Communicate with new hires throughout the pre-boarding process to ensure readiness for Day 1.
- Schedule and facilitate all new hire orientation sessions and onboarding logistics.
- Lead weekly internal new hire preparation meeting.
- Coordinate OLBT training and related onboarding schedules.
- Prepare and distribute onboarding materials, welcome items, and new hire gifts.
- Partner with HR, IT, Payroll, Operations, and hiring managers to ensure a seamless onboarding experience.
- Maintain onboarding calendars, schedules, and status trackers.
- Respond to routine employee and candidate questions regarding onboarding processes.
- Support miscellaneous HR administrative tasks, special projects, and team initiatives.
- Support coordination of Training & Development instructor led programs and eLearning by LMS.
- Contribute ideas to improve the new hire experience and onboarding efficiency.
Do you have what it takes?
- Bachelor's degree in Human Resources, Business Administration, or related field preferred
- 1-3 years of HR generalist or related experience
- Strong interpersonal, organizations, facilitation, and communication skills
- Proficiency in MS Office and experience with HRIS systems
- Ability to maintain confidentiality and handle sensitive information
- HR certification (PHR, SHRM-CP) preferred but not required

Working Conditions:
- Office based position in the Company's headquarters
- Occasional travel for training or HR programs/events may be required
Physical Requirements:
This position primarily involves sitting for extended periods, working on a computer, and performing repetitive tasks
such as typing and using a mouse. Employees must be able to lift up to 10 pounds at a time. This position primarily
involves sitting, standing, walking, use of technology requiring adequate up-close vision and the ability to adjust
focus, manual dexterity, hearing and speaking.
