    Position Overview:

    The Town of Castle Rock has an outstanding opportunity for an Human Resources Coordinator in our Human Resources division. This position is responsible for providing technical and administrative support for the Human Resources Division. This position coordinates and facilitates human resources functions throughout the employment lifecycle. Performs duties in a manner consistent with the stated values of the organization.

    Essential Duties and Responsibilities:

    • Responds to a variety of questions from employees and applicants including information on processing forms, recruitment, general benefits, position vacancies, policies and procedures, and special programs or activities.
    • Support all phases of the employee lifecycle by processing HR transactions, coordinating onboarding and offboarding activities, and ensuring timely completion of pre-employment and onboarding tasks
    • Responsible for timely and accurate personnel data entry into the HR/payroll software system. Receive and process Personnel Action Forms. Verifies information, identifies and corrects discrepancies and follow established procedures to ensure records are accurate and complete.
    • Coordinates weekly new hire onboarding process to include reviewing policies; procedures; benefit paperwork; etc. Prepares all materials and ensures information is complete and up to date. Follows up with new employees as needed.
    • In accordance with federal guidelines, ensures accurate completion and timely filing of I-9's for all employees and maintains appropriate record keeping for new and current employees.
    • Schedules and conducts employee orientation for new and current employees. Coordinates employee orientation schedules with necessary Town staff including the Town Manager, Town Clerk's Office, Risk Manager, etc. Prepare materials and ensure information is complete and up to date. Provides follow-up to new employees as necessary. Tracks attendance and follows up with appropriate Department Director on employees attendance.
    • Orders and maintains department supplies.
    • Responds to employment verifications and other inquiries from employees, supervisors and outside agencies, grants release of employment information as appropriately authorized.
    • Maintain HR Files, correspondence and other materials; files all correspondence and other records in a timely manner. Ensures appropriate security and confidentiality of employee information and records.
    • Composes, types and/or edits a variety of correspondence, reports, memoranda, and other material requiring good judgments as to content, accuracy and completeness. Responsible for managing general email inboxes for HR division.
    • Ensures appropriate security and confidentiality of employee information and records.
    • Prepares complex HR reports from HRIS system.
    • May participate in employee recognition committee and support employee events and award programs as needed.
    • Helps to organize and maintain new hire swag and other HR supplies
    • Assists with Townwide "caught ya card" recognition program including program utilization reporting. May provide support to additional Employee Recognition programs.
    • Assists with Position Control Number management throughout the data entry process to ensure all position numbers are accurately and appropriately utilized for employee transactions.
    • Assists with the completion and distribution of unemployment letters.
    • May attend various other Town team meetings as a representative for the Human Resources Division.
    • Assists with HR communication such as Town intranet, website and employee publications such as the Rock Talk.
    • Answers employee questions and provides assistance where appropriate and as assigned.

    OTHER DUTIES:

    • Coordinate special projects as assigned.
    • Prepare and mail documents for internal and external distribution.
    • Performs other duties as assigned or required.

    NECESSARY KNOWLEDGE, SKILLS AND ABILITIES:

    • Knowledge of modern human resource practices, laws and regulations.
    • Skill in communicating effectively and professionally with all levels of management, employees, the public, and vendors verbally and in writing.
    • Demonstrated ability to enter, review and maintain data with a high degree of accuracy and attention to detail.
    • Ability to provide guidance, and/or assistance to others on how to apply guidelines, procedures and policies in specific situations.
    • Demonstrates exceptional customer service skills.
    • Ability to exercise initiative and judgment and make decisions within the scope of assigned authority.
    • Ability to establish and maintain effective working relationships.
    • Ability to maintain integrity of confidential information.
    • Strong ability to multi-task and respond quickly and effectively to changing priorities and demands.
    • Knowledge of Town personnel guidelines, compensation system and benefit plans.
    • Ability to understand oral and written instructions.
    • Ability to set priorities and organize work.
    • Excellent word processing skills required. Knowledge of spreadsheet and database programs including HRIS.
    • Knowledge of file and record maintenance principles and practices, both hard copy and computerized.
    • Familiarity with employee benefits including health insurance and terminology.
    • Skill in operating a variety of modern office equipment.

    Minimum Qualifications:

    An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.

    Education: Generally, a High School Diploma or GED equivalent

    Experience: At least one (1) year of general human resources experience; or any equivalent combination.

    Preferred Qualifications: College level course work and public sector HR experience

    Physical Demands:

    • Sedentary work for long periods of time
    • Occasional physical work lifting no more than 10 pounds
    • Occasional lifting, carrying, walking and standing
    • Occasionally required to use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; and stop, kneel, crouch or crawl
    • Frequent hand/eye coordination to operate personal computer and office equipment
    • Vision for reading, recording and interpreting information
    • Speech communication and hearing to maintain communication with employees and citizens

    Work Environment:

    • Works primarily in a clean, comfortable environment

    Equipment Used:

    • Uses standard office equipment including a personal computer system
    • This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.

    Must satisfactorily pass a criminal background check prior to commencing employment.
