Job Description

Position Summary:

The Human Resources Coordinator supports the delivery of comprehensive HR services across the Veterinary Health System by managing payroll operations, recruitment, leave types, employee lifecycle processes, and compliance activities. This role ensures accurate and timely compensation, maintains data integrity, and supports efficient hiring and onboarding across multiple employee groups. The position exists to provide critical operational support, enabling continuity of HR services and allowing the HR team to effectively meet the needs of a complex, 24/7 clinical environment.

Essential Job Duties:

  • Coordinate and process monthly payroll operations for all VHS employee groups by auditing time entries, processing supplemental pay, monitoring assignment end dates, and completing payroll reconciliations to ensure accurate and timely compensation; serve as the primary point of contact for payroll-related inquiries, manage Workday cases related to payroll errors, and partner with central teams to investigate and resolve issues; supports continuity of payroll functions critical to employee pay and retention.

  • Manage complex payroll scenarios and leave applications by interpreting and applying policies related to holidays, inclement weather, alternative schedules, and leave types; ensure accurate time entry coding and payroll outcomes while providing guidance to employees and supervisors to maintain compliance and consistency across VHS operations.

  • Administer recruitment and hiring processes for student and non-student hourly employees by creating job postings, advancing candidates in Workday, coordinating interviews, initiating background checks, and managing candidate communications to maintain efficient hiring timelines across VHS units.

  • Manage employee lifecycle processes by conducting onboarding, entering and maintaining Workday assignments, monitoring assignment end dates, and coordinating offboarding activities to ensure compliance with university, state, and regulatory requirements.

  • Maintain and audit personnel records by organizing, updating, and securely retaining employee documentation in alignment with university policies and legal standards, ensuring data integrity, compliance, and accurate reporting.

  • Support performance management processes by tracking deadlines, organizing documentation, and assisting supervisors with Administrative Professional and State Classified review requirements to ensure timely and compliant completion of evaluations.

  • Manage the full lifecycle of internal and external locum providers by coordinating onboarding, scheduling alignment, contract/pay setup, and payment processing; ensure accurate and timely compensation, compliance with university and regulatory requirements, and continuity of clinical coverage across VHS services.

  • Administer compliance-related processes including Motor Vehicle Record (MVR) checks and related tracking to ensure employees meet role-specific requirements and mitigate organizational risk.

  • Support employee engagement and onboarding initiatives by coordinating logistics and participating in activities such as VHS New Employee Orientation and other programs that enhance employee experience, connection, and retention.

  • Serve as a front-line HR resource by managing the HR shared inbox, responding to employee and applicant inquiries, and providing accurate guidance to supervisors and staff; collaborates on cross-training, process improvements, and performs other related duties as assigned to support efficient HR operations across the VHS.

Supervision:

No formal supervisory responsibilities.

Minimum Qualifications:

  • Bachelor’s degree in human resources, business administration, or a related field;
    OR associate’s degree plus two (2) years of relevant HR or administrative experience;
    OR High school diploma (or GED) plus four (4) years of progressively responsible HR or administrative experience.

  • Experience or familiarity with financial processes such as bookkeeping, accounts receivable (AR), accounts payable (AP), and general financial practices.

  • Experience working with Human Resources Information Systems (HRIS) and timekeeping systems.

  • Demonstrated ability to manage multiple deadlines in a detail-oriented environment.

  • Strong written and verbal communication skills.

  • Demonstrated ability to handle confidential information with discretion.

Preferred Qualifications:

  • Experience in higher education, healthcare, laboratory, or veterinary medical environment.

  • Experience with Oracle, Workday, PeopleAdmin, TimeClock Plus, or similar HR/payroll systems.

  • Experience supporting Faculty, Administrative Professional, State Classified, student, and hourly employee groups.

  • Experience supporting payroll processing, recruitment coordination, and/or employee lifecycle administration.

  • Experience managing shared inboxes or high-volume customer service communications.

  • Demonstrated ability to work effectively across multiple departments in a complex organization.

Salary Range

$47,000 - $52,000
