    Position Title: Human Resources Coordinator
    Status: Full-time; Non-exempt
    Hours: Monday through Friday; 40 hours per week            
    Pay: $26.00 hourly
    Supervisor: Human Resources Manager
     
    GENERAL DESCRIPTION
    • The Human Resources Coordinator is responsible for implementing directives from the Human Resources Manager and Chief Operations Officer (COO). This role ensures that all HR processes are carried out accurately, efficiently, and in alignment with organizational standards.
    • The Human Resources Coordinator’s primary responsibilities span both recruitment and onboarding, managing the end-to-end employee lifecycle from sourcing and hiring to compliance documentation, orientation, and training coordination — ensuring accuracy and a high-quality experience at every stage.
    • This role serves as a direct point of contact for candidates throughout the hiring and onboarding process, providing timely updates, answering questions, assisting with technology, and ensuring all required documentation is completed and submitted.
    • The Human Resources Coordinator works in close collaboration with Support Managers and Training Managers to coordinate hiring transitions, schedule and conduct orientations, and introduce new employees to IRI’s systems, culture, and expectations.
    • The Human Resources Coordinator manages and coordinates the New Hire Orientation (NHO) training schedule, attending in-person NHO sessions on Tuesdays to welcome and onboard new employees, and facilitating remote sessions as needed for employees who are not local or unable to attend in person.
    • The Human Resources Coordinator ensures the accuracy and integrity of HR administrative functions, including maintaining personnel files and tracking sheets, monitoring compliance requirements, preparing reports, and supporting organizational initiatives.
     
     
    QUALIFICATIONS
    • Associate’s degree in human resources, business administration, or related field preferred.
    • Minimum one (1) year of experience in recruitment, human resources, or a related field required.
    • Experience coordinating onboarding processes, managing full-cycle recruitment, or supporting Human Resources operations.
    • Familiarity with HRIS and ATS platforms preferred (Paycor experience a plus).
    • Excellent communication skills, both verbal and written, with the ability to build rapport and maintain professional relationships with candidates, employees, and managers.
    • Exceptional organizational skills and the ability to manage calendars, track multiple deadlines, and multitask with accuracy.
    • High attention to detail and commitment to compliance when reviewing documentation, personnel records, and system data.
    • Proficiency in Microsoft 365 applications (Word, Excel, Outlook, PowerPoint, SharePoint) and online meeting platforms (Teams, Zoom).
    • Working knowledge of employment laws and regulations and the ability to apply them to daily HR practices.
    • Strong interpersonal skills, with the ability to engage with individuals across all organizational levels in a professional and approachable manner.
    • Ability to handle sensitive and confidential information with discretion and integrity.
    • Problem-solving and critical-thinking skills to anticipate challenges, recommend solutions, and improve HR processes.

    RESPONSIBILITIES
    Essential functions of the job are denoted. The Human Resources Coordinator assumes the following responsibilities under the direction of the Human Resources Manager and in collaboration with other members of the leadership team.
    • Manage the full-cycle recruitment process, including posting positions on job boards, sourcing candidates, reviewing resumes, conducting pre-screening interviews, and facilitating reference checks.
    • Collaborate with Support Managers and other leadership to identify staffing needs, ensure alignment with organizational demands, and support workforce planning efforts.
    • Maintain accurate applicant records in Paycor, ensuring compliance with documentation requirements throughout the recruitment cycle.
    • Manage recruitment tracking spreadsheets in Excel, capturing open staffing needs from Support Managers and facilitating the alignment of candidates to the appropriate manager based on the needs of the individuals served.

    • Ensure compliance with federal, state, local, and organizational policies during all stages of the recruitment cycle.
    • Generate regular recruitment reports for leadership, including metrics on candidate pipelines, hires, and open positions.
    • Represent the organization professionally at job fairs, community events, and networking opportunities, consistently reflecting IRI's mission, vision, and values to candidates, employees, and external partners.
    • Manage the full onboarding cycle for new employees, from issuing offer letters and pre-employment documentation to ensuring all compliance requirements (background checks, DMV records, drug screenings, and live scans) are completed accurately and on time.
    • Serve as the primary point of contact for new hires during the onboarding process, providing clear communication, timely updates, and personalized support to ensure a welcoming and professional candidate experience.
    • Oversee the accuracy, compliance, and organization of all onboarding documentation and personnel records, ensuring adherence to legal standards and company policies while proactively identifying and resolving errors or discrepancies.
    • Collaborate with the HR Manager, Training Manager, and hiring managers to coordinate NHO schedules, start dates, and training needs, ensuring timelines are met and departmental priorities are supported.
    • Facilitate New Hire Orientation sessions in person on Tuesdays and remotely as needed, providing an engaging overview of IRI's mission, values, policies, and systems. Conduct orientation in a professional and polished manner.
    • Guide new hires through initial system setup and training, including access to Paycor, eRSP, Microsoft platforms, benefit enrollment, and learning modules.
    • Act as a liaison between new hires, training teams, and managers by confirming orientation completion, tracking progress on required training, and communicating next steps.
    • Maintain the integrity of HR records and systems by ensuring personnel files are accurate, compliant, and up to date.
    • Maintain an organized calendar, including scheduled pre-screening interviews, NHO training sessions, recurring team meetings, and check-ins with the HR Manager and leadership.
    • Assist HR leadership by tracking compliance deadlines, preparing reports, and providing updates on onboarding, recruitment, training, and employee records.
    • Provide administrative support for HR functions, including maintaining digital personnel records and recruitment-related platforms (e.g., Microsoft, Paycor, eRSP, Zoom, Indeed, etc.).
    • Contribute to HR departmental projects and initiatives, including process improvement, policy implementation, and system upgrades, demonstrating flexibility and a solutions-focused approach to evolving organizational needs.
    • Foster positive relationships across the organization by serving as a resource for employees and managers, answering questions, providing guidance, and reinforcing HR policies and procedures in a supportive and approachable manner.
    • Perform other duties as assigned by the Human Resources Manager and Chief Operations Officer to ensure the effectiveness and continuous improvement of HR operations.
     
     
    PHYSICAL DEMANDS

    • The employee may be required to attend in-person orientation training, job fairs, or community events, which can involve extended periods of standing or walking, transporting recruitment materials, and interacting with the public.
