General Description

The Human Resources Coordinator will be responsible for assisting with administrative functions that best meet our organizational needs. In this hourly role, the Human Resources Coordinator will primarily support processes around main receptionist functions, such as: answering phones, sorting mail, greeting customers, ordering office supplies, entering work requests, creating photo identification cards, entering HR data, room reservations and set up for HR trainings, and assisting with other administrative functions within Human Resources. Providing direct administrative support to the Human Resources Director, the human resources team of seven employees, and 800+ employees of the LCHD. This position also trains and supervises temporary front desk staff. Provides primary reception support for employees, visitors, patients, vendors, and other LCHD programs. Coordinates HR employee relation events. Serves as first point of contact for HR concerns.

This position is fully on-site.

Scheduled Hours: 37.5 hours per week

Essential Functions

  • Acts as a receptionist by answering telephones and directing caller to the appropriate location.
  • Orders and maintains inventory of Human Resources office supplies.
  • Prepares HR correspondence to be mailed to employees via USPS or Certified Mail.
  • Prepares employee benefits packets for HR such as new hire packets, termination and retirement guide packets.
  • Responsible for reconciling p-card transactions as well as receiving on purchasing requisitions for Human Resources.
  • Orders copy paper, toner, and other necessary supplies for HR staff and administration staff as backup.
  • Enters maintenance and IT service requests for Human Resource staff, as well as for administration floor issues.
  • Reserves the Board, Training and Grand Room for internal customers.
  • Organize and maintains digital employee records in compliance with Health Department policies.
  • Responsible for the yearly submission and tracking of BH CANTS, Sex Offender Registry, and Health Care Worker Registry.
  • Responsible for running NPDB records for existing providers with licenses.
  • Coordinates and schedules monthly and quarterly mock audits for HR files and BALC files.
  • Prepares and presents Child Abuse and Neglect Tracking System, Health Care Worker Registry, Sex Offender Registry for quarterly Bureau of Accreditation, Licensure, and Certification Audits.
  • Manages employee compliance of HR documents.
  • Receives invoices in I-Procurement and initiates payment approval routing.
  • Coordinates with vendors to promote fiscal responsibility and remain within budget for financial purchases.
  • Reviews and processes Tuition Reimbursement Certification documents.
  • Prepares vouchers for reimbursement payments to employee participants in the State Loan Repayment Program through IDPH.
  • Prepares vouchers for reimbursement payments for employee retirement events, mileage vouchers, and Tuition Reimbursement.
  • Processes and files employee jury duty checks and cards.
  • Manages cash procedures for employee supplies and employee logo wear.
  • Creates photo identification cards and is responsible for activation, deactivation, and tracking of employee badges.
  • Responds to inquiries regarding Health Department Facility Access. Reviews, processes, and files Health Department Facility Access Forms: Key/Alarm code requests. Collaborates with the facilities department to resolve ID card, door key and alarm code issues.
  • Responsible for properly responding to the duress button alarm and notifying appropriate individuals.
  • Updates and formats HR Leadership training schedule.
  • Updates, formats and publishes the monthly Health Department On Call List for the agency.
  • Responsible for the equipment set-up for the Human Resources trainings, webinars, and meetings.
  • Assists with HR trainings management in Relias.
  • Assists with new hire orientation preparation and setup. Processes tasks for new hires, assists with troubleshooting within new hire program (NeoGov), EEO entries, Ethics Forms, DCFS forms, ID creations, and new hire schedules. Responsible for completion of E-Verification of new hire employees within 72 hours of start date.
  • Assists with the planning and coordination of employee relation events such as Employee Appreciation, Blood Drives, Employee Recognition Breakfast, Health Works 5K, Spirit Week ideas, and other assistance, as needed
  • Responsible for taking minutes at the Human Resources staff meeting.
  • Assists Human Resources with other projects as assigned.
  • Responsible for the scanning of HR documents and personnel records.
  • Delivers and/or call the appropriate person/program when their packages come in.
  • Schedules package pickup via FedEx.
  • Provides water testing kits to community members.
  • Provides staff/visitors assistance on FOIA processes.
  • Tracks and monitors Privacy Room usage.
  • Sends out quarterly surveys for Human Resources and Business Operations programs as assigned.

Knowledge Skills Abilities and Education Required

  • High School Diploma certification.
  • Two years of directly related human resources experience strongly preferred.
  • Ability to utilize Microsoft Word, Excel, and Outlook in a proficient manner.
  • Good knowledge of the principles and practices of public human resources management.
  • Ability to juggle competing priorities, multi-task and change direction in a variety of workplace situations.
