Highly responsible position in the Herbert Wertheim College of Engineering’s (HWCOE) Finance and Administration, Engineering Business Services (EBS) Human Resources Unit. This position will function as a primary originator for all HR transactions supporting one or more departments within HWCOE. The incumbent in this role must possess a high attention to detail with preferred demonstrated skill in PeopleSoft specifically with Personnel and Payroll transactions, possess a good working knowledge of UF personnel and payroll procedures and actions, and possess excellent communication skills both oral and written with the ability to perform duties in an independent manner. As an ePAF originator of various ePAF actions the incumbent is responsible for the processing of departmental personnel appointments (faculty, staff, OPS, GA’s) ensuring appropriate documentation is provided and accurate, assist with time and labor review and approvals, as well as payroll review and processing of appropriate actions.This is an on campus and in person position, remote/hybrid work is not available.

Job Description:

Responsible for processing various HR transactions in MyUFL, may include originating ePAF hires for Graduate Assistants, Fellows, OPS, Student Assistants, etc. Responsible for tracking the completion of Exit Checklists for terminating employees and forwarding as appropriate to HWCOE HR. Generate electronic LOA’s for Graduate Assistant hires and reappointments.

Provide support and assistance for time and labor processing, may include reviewing paylists, requesting On Cycle/Emergency Checks, and appropriate leave entry. Ensure bi-weekly payroll is processed and that time and leave are approved as appropriate for compliance with UF Policies. Communicate with supervisors to complete Time & Labor training and ensure they are set up to approve time for their employees and provide additional instruction as needed.

Process, approve or review for accuracy and route for appropriate signatures various HR forms and requests, this will include but not limited to; HWCOE Internal Petitions, Gator 1 Card Authorization Requests, Email Set-up, Employment verification, Employment of Relatives Approval Request, Alternate Work Location Agreement, Requests for New UFID, Transportation and Parking Request, Background Screening, etc. Maintain various EBS tracking reports.

Track new hires and communicate with department supervisors and staff to provide reminders of appropriate dates and timelines. For Graduate Assistants, ensure that evaluations are done on a semester basis. Track any Graduate Assistant evaluations that are rated as “unsatisfactory” and “may not be reappointed” to ensure proper notice is given to any Graduate Assistants that will not be reappointed due to unsatisfactory performance.

Miscellaneous other duties as assigned by supervisor or required to ensure efficient operation of the Engineering Business Services Section. Attend various meetings both in person and via zoom/teams video call. Provide back-up as needed for other HR staff during vacation, sick leave, and other high-volume periods to ensure appropriate coverage.

Expected Salary:

$26.44 per hour Max

Required Qualifications:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

Preferred:

Excellent working knowledge of UF Personnel and Payroll policies and procedures with the ability to confidently lead discussions and convey knowledge to departments.

Working knowledge of PeopleSoft, specifically with Personnel and Payroll applications.

Prior HR experience at UF, specifically with Graduate Assistant, Student Assistant and OPS employees.

Experience with processing foreign national hires at UF.

Must be detail oriented.

Skilled in Microsoft Software, particularly Word and Excel. 

Must have excellent organization skills with the ability to prioritize work assignments.

Ability to communicate effectively with departments and other individuals on campus verbally and in writing.

Must exercise professionalism as a representative of the College Dean’s Office. 

Ability to work independently to resolve problems.

Knowledge of basic accounting principles.

Ability to interact cordially with coworkers to accomplish common tasks, and contribute positively to a team. 

Ability to function under highly stressful circumstances.
