Summary of the Role:  The HR Generalist provides administrative and operational support across the employee lifecycle for multi-state operations. This role is responsible for recruiting administration, onboarding coordination, HRIS management, state specific employee badging, compliance with federal and state specific employment law, employee records administration, and workforce communications. The HR Generalist partners with HR leadership and field operations to deliver an organized, compliant, and consistent employee experience while ensuring the accuracy of HR systems, documentation, and regulatory requirements.

Key Responsibilities: 

Recruitment & Talent Acquisition Administration

  • Post and maintain open positions in JazzHR and other recruiting platforms.
  • Monitor candidate flow and support hiring managers throughout the recruitment process.
  • Remove filled positions and maintain recruiting system accuracy.
  • Assist with recruitment reporting and workforce tracking.
  • Support employer branding initiatives through LinkedIn and other professional platforms.

Onboarding & New Hire Administration

  • Create employee profiles within Wurk and ensure all required employee information is accurately entered.
  • Send new hire welcome communications outlining first-day expectations, required documentation, immediate policy information, dress code, and first-week schedules.
  • Coordinate background screening requirements including BCI, FBI, fingerprinting, and IdentoGO processes as applicable state-by-state.
  • Facilitate company uniform distribution and onboarding materials.
  • Coordinate and track 30-, 60-, and 90-day reviews for all new hires and promoted employees.
  • Maintain complete employee onboarding files within Wurk and SharePoint.

Licensing & Regulatory Compliance

  • Submit and monitor employee licensing applications through state licensing portals (eLicensing).
  • Prepare and distribute all required affiliation documents to the Department of Health (DOH) and applicable regulatory agencies.
  • Maintain centralized onboarding and licensing documentation in SharePoint for operational leadership access.
  • Monitor licensing status and follow up on outstanding requirements to ensure regulatory compliance.

HRIS & Employee Records Management

  • Maintain accurate employee records within Wurk throughout the employee lifecycle.
  • Update personnel files with documentation received from HR Business Partners, HR leadership, and field management.
  • Ensure HR documentation is complete, organized, and compliant with company and regulatory requirements.
  • Maintain organizational charts and workforce reporting documents.

Employee Lifecycle Administration

  • Administer COBRA notifications and related documentation when applicable.
  • Prepare and distribute separation communications, including unemployment filing instructions.
  • Process unemployment portal updates and respond to unemployment claims as needed.
  • Coordinate employee status changes including promotions, transfers, and organizational updates.
  • Maintain accurate employee records following employment changes.

HR Communications & Employee Engagement

  • Monitor the HR general mailbox, respond to routine inquiries, and direct questions to the appropriate HR team members.
  • Coordinate employee anniversary and recognition programs.
  • Publish promotion announcements and employee milestone communications.
  • Assist with company-wide HR communications and employee engagement initiatives.

HR Operations & Administrative Support

  • Support HR Business Partners and the Director of Human Resources with administrative and operational initiatives.
  • Assist with special projects, audits, reporting, and process improvements.
  • Maintain HR documentation, forms, and departmental records.
  • Perform additional duties as assigned to support efficient, compliant, and employee-focused operations.

Position Requirements

  • Bachelor’s degree in Human Resources or related field preferred; equivalent experience considered.
  • 3 + years of HR experience in recruitment, onboarding, training coordination, or employee relations.
  • Experience supporting multi-location or field operations preferred.
  • Ability to work independently while collaborating across departments.
  • Experience working in regulated industries is a plus.
