    Description

                                                         

    SUMMARY

    The Human Resources Manager provides leadership and oversight for key human resources functions, including benefits administration, payroll, employee relations, compliance, and talent management. This position is responsible for administering company benefit and payroll programs; developing, implementing, and continuously improving HR policies, programs, and initiatives; and ensuring compliance with employment laws and company policies.

    The Human Resources Manager serves as a trusted advisor to leaders across the organization, providing guidance on employee relations, performance management, leave administration, and workplace practices. The position also analyzes and communicates HR metrics and trends, supports strategic workforce initiatives, and partners with leadership to foster a positive, compliant, and high-performing work environment that reflects the values of Wallis Companies.

     

    RESPONSIBILITIES BY COMPETENCY:

    Business Results Orientation

      Ensure accurate data is entered into HRIS to ensure prompt, accurate reporting and responses to inquiries

      Manage implementation of new HRIS system while driving employee adoption of new technology

      Answer questions regarding human resources programs, offerings, policies, and procedures

      Assist in development and implementation of various strategic HR and benefit programs and policies focused on best practice and continuous improvement

      Support employees and act as a manager resource regarding questions concerning employee issues, human resources programs, offerings, policies, compliance, regulations and procedures

      Investigate all work-related and property damage accidents involving direct reports, identifying conditions responsible and corrective action needed; investigate and resolve any situations that arise regarding employment issues, including but not limited to sexual harassment, discrimination, wrongful discharge, etc.

      Ensure company payroll functions are being completed timely, accurately and in accordance with applicable company policies to ensure efficiency and effectiveness

      Ensure accurate quarter end and year end payroll tax filings as well as quarterly system tax updates

      Conduct quarterly audits to ensure payroll balances with respect to child support, garnishments, retirement funds, etc.

      Calculate annual and monthly bonus payments and ensure accurate and timely payout based on established schedule including maintenance of tracked metrics

      Administer worker’s compensation claims and FMLA including accurate and timely filing; facilitating communication; track appointments, and document appropriately

      Maintain metrics related to areas of responsibility, including but not limited to payroll and benefits

      Ensure compliance with all ERISA, IRS and other regulations related to benefits and payroll 

      Coordinate, manage and oversee the company’s performance management process, communicate increases and ensure accurate entry of raises

      Assist with development of plan for company’s wellness initiatives and ensure initiatives are executed

      Process all initial unemployment protests, coordinate appeals and maintain records of unemployment activity

      Maintain regular attendance and follow designated safety practices

      Consult with leaders and stakeholders on how to attract and hire quality talent, working with other human resources practitioners to develop seamless process improvements to ensure optimal candidate and hiring manager experience

      Perform other duties not listed as required

     

    Communication

      Keep the Director of People Services informed about any customer concerns or problems

      Communicate effectively Human Resource/Payroll related practices, policies, and procedures to the organization

      Communicate in a professional, effective and appropriate manner with internal and external customers 

      Develop and implement effective communication and education plans related to assigned areas of responsibility, including but not limited to wellness, compensation, worker’s compensation, etc.

      Maintain designated portions of Human Resources website

      Communicate effectively with supervisors, employees, claims adjusters, medical providers, and others involved in the worker’s compensation claims process

     

    Customer Service Orientation

      Ensure timely action to internal and external customer inquiries and needs

      Seek feedback and listen to expectations of customers

      Maintain and develop relationships with supervisors, employees, and members of management

      Complete site and/or customer visits as required

      Develop new and improved practices and procedures to provide more value-added services to customers

     

    Developing Talent

      Provide guidance and coaching to managers regarding employee performance, conduct, attendance, and corrective action

      Attend training to further professional development and understanding of company goals and strategy

      Coach employees on existing policies and procedures

      Assist in developing other employees inside and outside of department

      Work as a team member to help improve individual, department, and organizational productivity

      Cross-train other team members in area of responsibility and cross train in other areas within the department to ensure adequate resources are available for customers 

      Complete Safety training as required

     

    Technical Expertise

           Develop and maintain knowledge necessary to administer 401(k) plan; ensure accurate participant activity for the company 401(k) plan including but not limited to deferral entry, beneficiary tracking, open enrollment, etc. and complete audits as needed to ensure data accuracy

           Manage implementation of new HRIS system; bring in best practices and continuous improvement

           Completed annual required 401(k) plan functions including but not limited to data uploads, testing, audit follow up and filing of required tax documents

           Ensure compliance with federal, state, and local regulations concerning employment including but not limited to ADA, ACA, FMLA, EEO, Workers Compensation and FLSA within area of responsibility  

           Complete recordkeeping, compliance reporting and testing including but not limited to EEO-1, 5500, etc.   

           Maintain and update salary grades, compensation structure, policies/procedures, and all other aspects of base and bonus compensation

           Ensure job descriptions and organizational charts are updated for all active positions within the company and are aligned with compensation structure

           Develop and maintain knowledge necessary to promote company wellness initiatives and maintain wellness intranet site

           Ensure company Wellness site is maintained and promotes current programs

           Ensure accurate regulatory reporting, including EEO-1, 5500, and OSHA filings, in alignment with compliance standards and audit readiness

           Maintain metrics related to areas of responsibility, including but not limited to recruiting, worker’s compensation, FMLA, wellness, etc. Develop and maintain job procedures for areas of responsibility

           Adhere to all Wallis Companies safety policies and report all safety incidents to supervisor immediately

     

    Supervisory Responsibilities

    Direct: Human Resources Generalist, Compensation and Benefits Administrator, Recruiter Lead

    Education:                                       Bachelor’s Degree or Master’s Degree in Human Resources                                                                                    Management; SHRM membership and SHRM certification-or willingness                                                   to obtain certification upon hire

     

    Experience:                                      5+ years of experience in Human Resources, Payroll/Benefits; HR                                                                 experience in an organization of 1,000+ employees; experience in retail                                                                industry a plus 

     

    Language Skills:                       Ability to read, write, speak, and understand English in a manner

    that is sufficient for effective communication with groups of managers, clients, customers and the general public. Strong communication skills, both verbal and written

    Skills and Abilities:
