Position Summary

The Human Resources Specialist will assist with day-to-day operations of the Office of Human Resources; including processing employee paperwork, maintaining electronic and paper files, developing documents and reports, and performing related duties in a positive and professional manner.

Essential Duties and Responsibilities

ESSENTIAL FUNCTIONS:

  • Assist in the day-to-day operations of the Office of Human Resources.
  • Process employee paperwork and enter into Banner and other systems.
  • Set up and maintain personnel files; maintain the security and confidentiality of all personnel information, files, and documents.
  • Assist in the recruitment and selection process; prepare and distribute job announcements and advertisements, maintain applicant database, prepare related correspondence and documents.
  • Prepare letters of appointment for all administrators, faculty, and staff.
  • Maintain a database of all College employees.
  • Maintain and update employee salary data, including experience and step placement.
  • Work closely with payroll office staff to ensure timely and accurate information processing.
  • Coordinate and assist in the development of reports and documents using word processing, spreadsheets, and desktop publishing software.
  • Assist in responding to employment inquiries by phone and in writing.
  • Serve as liaison between the Director of Human Resources and other College and community personnel.
  • Assist with employee orientation, training, and professional development.
  • Maintain and update the Employee Handbook.
  • Exhibit initiative to pursue and learn additional tasks as needed.
  • Enhance professional knowledge and skills through professional development and continuing education.
  • Comply with all policies of the Alabama Community College System and the College.
  • Perform other related duties as assigned.

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelors Degree in Human Resources, Business Administration, or a closely related field from a regionally accredited institution required.
  • Five (5) years of full-time work experience in a professional office environment required.
  • Knowledge of administrative and office procedures and systems such as work flow, file/records management, forms design, and other office procedures and terminology.
  • Knowledge of principles and procedures for personnel classifications and compensation, employee relations, and personnel information.
  • Excellent communication, interpersonal, and time management skills.
  • Attention to detail and accuracy of work; ability to multi-task and handle various situations in a professional manner; establish priorities and use critical thinking skills.
  • Ability to work efficiently and effectively with Microsoft Office Suite (Word, Access, Excel).
  • Ability to compose and prepare accurate reports, records, and correspondence.
  • Ability to establish and maintain effective working relationships with other employees and the public.

Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. All regular full-time and part-time employees (non-temporary and non- student) who work at least 20 hours per week are required to participate in The Teachers Retirement System of Alabama.

Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:

  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
