HR Assistant
Position Summary
As an integral part of Heritage Academy, this position will support the Human Resources department with recruitment, onboarding, employee records, compliance documentation, communication, and administrative support. This position will help ensure that Heritage Academy provides timely, organized, professional, and friendly support to candidates, employees, campus leaders, and administrative teams in alignment with the vision and mission of Heritage Academy.
Duties & Responsibilities
Assist with annual development and management of human resources systems, including hiring calendars, onboarding timelines, employee documentation, and department organization.
Create positive relationships with campus leaders, administrators, employees, candidates, vendors, and other stakeholders to create value for Heritage Academy families.
Support recruitment, hiring, onboarding, employee records, and compliance efforts for the Paul Revere and Heritage Academy schools.
Help to communicate the employee value proposition and employment case for joining and remaining with Heritage Academy.
Assist with the candidate and employee relationship management process, including communication, scheduling, screening support, onboarding assistance, documentation, and employee follow-up.
Support human resources strategies related to staffing, employee support, compliance, and organizational effectiveness including:
Job postings, candidate communication, interview scheduling, and applicant tracking;
New hire onboarding, orientation preparation, and required paperwork;
Employee records, compliance documents, and administrative support.
Execute the process of scheduling face-to-face, phone, and virtual interviews.
Help support the hiring and employee service efforts for the Paul Revere and Heritage Academy Schools.
Assist with the development, implementation and management of a comprehensive employee/candidate tracking, documentation, and management system.
Support the human resources infrastructure, including:
Data and information management;
Employee communication, recognition, and support;
Hiring, onboarding, personnel records, and compliance tracking.
Assist with budget, performance, and human resources reporting.
Work closely with other departments to communicate the mission and vision of the organization, and the importance of hiring, supporting, and retaining excellent employees, in a consistent and proactive way.
Represent the organization in public.

Qualifications, Competencies & Strengths
Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
Experience: 1-3 years administrative, human resources, recruiting, school operations, customer service, or office support experience preferred

Ability to support recruiting, onboarding, employee documentation, compliance tracking, scheduling, data entry, employee communication, and general HR administrative processes
Knowledge of school operations, employment practices, or human resources procedures preferred
Bilingual (Spanish) preferred
Proficient with computers and software applications including Google Suite and Microsoft Office tools
Type of fingerprint clearance: Shall be fingerprint checked pursuant to A.R.S 15-512
Physical functions: Regularly required to sit, stand, walk, talk, hear, and operate a computer, hand-held learning devices, and other office equipment. Reach with hands and arms, and must occasionally lift and/or move up to 50 pounds.
Equipment used: Frequent computer use is expected.
Work Environment: Typical office environment is expected; occasional exposure to outdoor weather.
Travel: 10-25%
