POSITION DESCRIPTION 

St. Catherine's School is an Episcopal day school in Richmond, Virginia, founded in 1890 enrolling roughly 950 girls age 3 through grade 12.  Located on a 16-acre campus in the western part of the city, St. Catherine's core values include pursuing academic excellence, developing character, nurturing spiritual growth, celebrating individuals, and building community.

POSITION OVERVIEW

St. Catherine’s School seeks a committed and solutions-oriented part-time Human Resources Specialist.  The Human Resources Specialist supports the daily operations of the Human Resources Department with primary responsibility for recruitment, onboarding, employee records management, and regulatory compliance. This position plays a key role in onboarding talented employees while ensuring compliance with applicable federal, state, and school policies, including Virginia Department of Education Child Day Center Licensing requirements for licensed early childhood programs. The HR Specialist also serves as the primary backup for payroll processing and provides exceptional customer service to employees throughout the employment lifecycle.

Position Status: Salaried, non-exempt, part-time, 12-month schedule

Hours of Work: Standard work week; 8:00am-12:00pm flexible

ESSENTIAL RESPONSIBILITIES

Recruitment & Talent Acquisition

  • Coordinate the full-cycle onboarding process for faculty, staff, and seasonal positions
  • Develop and post job advertisements on various recruiting platforms (Workable, NAIS, VAIS, NAES, etc)
  • Act as back-up for drafting employment contracts and offer letters
  • Maintain candidate tracking spreadsheets
  • Partner with division heads to identify staffing needs and improve recruitment strategies

 
Employee Onboarding

  • Coordinate all pre-employment requirements, including background checks, employment eligibility verification (Form I-9), and required employment documentation
  • Ensure all required employment forms, acknowledgements, and benefit enrollments are completed accurately and turned in to Payroll and Benefits Manager for processing
  • Coordinate technology, building access, and new hire setup with internal departments
  • Serve as a resource for new employees during their transition into the School community

Compliance & Child Day Center Licensing

  • Maintain compliance with Virginia Department of Education Child Day Center Licensing regulations related to personnel records and staff qualifications
  • Monitor required background checks, fingerprinting, child abuse registry searches, staff health form documentation, and other licensing requirements
  • Track required employee certifications, annual trainings, and professional development
  • Maintain documentation supporting licensing inspections and audits
  • Work with Lower School to stay current on applicable federal, state, and local employment laws and licensing requirements

Human Resources Administration

  • Maintain accurate and confidential employee personnel files, both electronic and paper
  • Report and document employee status changes, promotions, transfers, salary adjustments, and separations
  • Maintain HRIS data and ensure accuracy of employee records
  • Assist with benefits enrollment during open enrollment and throughout the year

Payroll Support

  • Serve as backup for payroll processing
  • Ensure payroll records are accurate and maintained in accordance with established procedures
  • Assist employees with payroll-related questions as needed

General Responsibilities

  • Maintain strict confidentiality of employee information
  • Assist with HR reporting, audits, and special projects
  • Recommend process improvements that increase efficiency and enhance employee service

PHYSICAL DEMANDS AND WORK ENVIRONMENT 

While performing the duties of this position, the employee is required to sit; stand; walk; use hands to grasp, handle and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may occasionally lift or move up to 50 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.  Ability to become CPR and First Aid Certified.

Requirements

REQUIREMENTS AND QUALIFICATIONS 

  • Associate’s degree in Human Resources, Business Administration, or a related field preferred or three or more years of progressively responsible Human Resources experience
  • Experience in recruitment and onboarding required
  • Experience supporting payroll processes preferred
  • Experience in a school or nonprofit environment preferred
  • Some knowledge of Virginia Department of Education Child Day Center Licensing regulations is strongly preferred
  • HR certification (SHRM-CP, SHRM-SCP, PHR, or equivalent) preferred but not required
  • Proficiency in Google Suite/Microsoft Office, including spreadsheets
  • Strong organizational, analytical, and problem-solving skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities, meet deadlines, and work independently or as part of a team
  • High level of accuracy, attention to detail, professionalism, and confidentiality
