SUMMARY

The Human Resources Support Specialist is a Full-Time position and serves as the primary point of contact for the Human Resources Office, providing front desk coverage and administrative support for onboarding, employment documentation, employee records, and HR operations. This position delivers accurate, timely, and customer-focused service while maintaining confidentiality and supporting efficient HR processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as the first point of contact for employees, applicants, and visitors, providing professional front office support.
  • Respond to and route walk-in, phone, email, and shared HR inquiries to appropriate HR staff.
  • Provide general information regarding HR processes and refer policy or employee relations questions appropriately.
  • Coordinate completion of Form I-9 documentation and support onboarding and offboarding processes.
  • Maintain onboarding checklists, employee records, and electronic personnel files.
  • Perform HRIS data entry and document processing to ensure accurate employee information.
  • Coordinate onboarding activities with departments including Facilities, IT, and Marketing.
  • Assist with HR training, employee engagement activities, and general office operations.
  • Maintain confidentiality while providing exceptional customer service.
  • Perform other duties as assigned.

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent.
  • Two (2) years of administrative or customer service experience.
  • Experience working in a professional office environment requiring confidentiality and attention to detail.
  • Basic computer proficiency, including Microsoft Office and data entry systems.

PREFERRED QUALIFICATIONS

  • Associates degree in Human Resources or a related field.
  • Experience in Human Resources or higher education.
  • Experience using HRIS or electronic document management systems.
  • Bilingual (English/Spanish).

KNOWLEDGE, SKILLS, AND ABILITIES

  • Strong customer service, interpersonal, and communication skills.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities while maintaining accuracy and consistency.
  • Ability to maintain confidentiality and follow established procedures.
  • Proficiency with Microsoft Office, HR systems, and administrative processes.
