Job Description

The Service Manager is responsible for overseeing daily service operations, coordinating manpower, managing materials and equipment, and supporting the successful execution of commercial HVAC service and installation projects. This role serves as the primary link between field technicians, customers, vendors, and management to ensure projects are completed safely, efficiently, and profitably.

Key Responsibilities

Service Operations

  • Manage daily scheduling and dispatching of service technicians.
  • Coordinate emergency service calls and prioritize workload.
  • Monitor technician productivity, efficiency, and billable hours.
  • Review service tickets for accuracy and completeness.
  • Ensure all work is completed according to company standards and customer expectations.

Material & Equipment Coordination

  • Procure and coordinate materials required for service and project work.
  • Maintain relationships with suppliers and equipment manufacturers.
  • Track lead times and ensure timely delivery of equipment and materials.
  • Coordinate equipment rentals, cranes, lifts, and specialty tools.
  • Maintain inventory levels of commonly used service parts and consumables.
  • Verify all materials and equipment arrive complete and undamaged.

Project Support

  • Assist with planning and coordination of upcoming projects.
  • Review project scopes and identify material, labor, and equipment requirements.
  • Coordinate startup schedules, deliveries, subcontractors, and inspections.
  • Work closely with project managers to ensure smooth project execution.
  • Track project progress and communicate potential delays or issues.

Team Leadership

  • Provide support and guidance to field technicians.
  • Assist with technician training and development.
  • Conduct regular safety and operational meetings.

Customer Relations

  • Serve as a primary point of contact for service customers.
  • Resolve customer concerns professionally and promptly.

Administrative Responsibilities

  • Utilize Jobber and company software to manage scheduling, work orders, and customer communications.
  • Review job costing and labor utilization reports.
  • Assist with service quoting and proposal preparation.
  • Track warranty work and equipment registrations.
  • Support invoicing and work order closeout processes.
