About WVL

Wisconsin Virtual Learning (WVL) is a K4 through 12 virtual public, non-instrumentality, charter school chartered through the Northern Ozaukee School District, serving families across Wisconsin. We give students a flexible, supportive place to learn from home, with certified teachers and a team that knows every family by name.

About the Role

The Enrollment and Organizational Development Coordinator manages enrollment from first inquiry through registration, supports families so they stay and thrive, and builds the systems that keep the school running smoothly. Marketing is handled by an outside partner, so the role stays focused on enrollment, family engagement, community relationships, and operations.

Key Responsibilities

Enrollment Management

Oversee the complete enrollment process, from initial inquiry through student registration.

Serve as the initial point of contact for prospective families, providing information and guidance.

Conduct virtual or phone-based readiness conversations with prospective families prior to application submission.

Manage Wisconsin Open Enrollment application processes and coordinate with families navigating district transfer requirements.

Develop streamlined enrollment systems and procedures to ensure a positive family experience.

Coordinate and host virtual information sessions, open houses, and school tours for prospective families.

Serve as the liaison between WVL and Eviva Media, the school''s marketing partner, coordinating lead handoff, following up on leads, and sharing enrollment results to help guide campaigns.

Family Engagement and Retention

Develop and implement family retention strategies to maintain high satisfaction and re-enrollment rates.

Create feedback systems to gather input from current families and use insights for continuous improvement.

Community Relations and Partnerships

Build relationships with community organizations, homeschool groups, and other referral sources.

Develop partnerships with local businesses, organizations, and educational institutions.

Represent the school at education fairs, community events (a minimum of two), and networking opportunities.

Coordinate referral and incentive initiatives that encourage families to spread the word.

Data and Reporting

Analyze enrollment data and demographic trends to inform enrollment strategy.

Generate quarterly reports on enrollment metrics and conversion rates.

Analyze enrollment trends and forecasting to inform strategic planning and resource allocation.

Organizational Development

Collaborate with leadership to set enrollment goals and develop action plans to achieve targets.

Develop resources and materials to help staff clearly communicate the school''s value to families.

Develop internal communication strategies to ensure clear, consistent messaging across the organization.

Create feedback mechanisms and channels for staff input and suggestions.

Support board relations and governance activities as needed.

Stay current with virtual education trends and best practices.

What We Are Looking For

Required

Bachelor''s degree or equivalent experience.

Experience in school enrollment, admissions, registrar work, or student-records operations, ideally in a Wisconsin public school.

Working knowledge of Wisconsin open enrollment and DPI reporting, or the ability to learn it quickly.

Strong organization and attention to detail, with real comfort working against hard deadlines.

Ability to read and act on enrollment data and reporting.

A warm, clear communicator who builds trust with families quickly.

Discretion and sound judgment with confidential student information.

Preferred

Experience in a virtual or charter school.

Familiarity with a student information system and WISEdata.

Experience with family engagement or retention work.

Experience planning and coordinating events.
